Position Title: Administrative Assistant
Type: age 30 & under / summer
Organization: SPEC - Society Promoting Environmental Conservation
Project: Elders' Circle
Location: Vancouver, BC

Time Commitment: 30 hours/week
Duration: Summer Term (June–August 2025)

Compensation: $20 per hour
Supervisor: EC Coordinator

Role Summary:

The Summer Student will be supporting SPEC/Elder’s Circle collaborative work through the BC Hub's Seniors for Climate team. Areas of responsibilities will include admin assistance, communication and outreach efforts, and event planning & logistics support.

1. Admin Assistance
Estimated Time: 10 hours/week
Key Responsibilities:
● Assist with scheduling meetings, sending out the agenda, taking minutes, and managing follow-ups
● Updating contact lists on the Action Network database
● Manage general email inquiries and correspondence related to program initiatives
● Organization and maintenance of the BC Hub- Google Drive documents & resources

2. Communications & Outreach Support
Estimated Time: 10 hours/week
Key Responsibilities:
● Assist with the newsletter distribution and email campaigns
● Assist with the marketing/outreach strategies including email or cold calling organizations
● Support any social media outreach including helping with the creation of any promotional materials

3. Event Planning & Logistics Support
Estimated Time: 10 hours/week
Key Responsibilities:
● Assist in developing the event plan and timeline
● Help with scheduling meetings with organizing committees, volunteers, speakers, etc
● Help manage RSVP lists and serve as a point of contact for inquiries
● Assist with the preparation of handouts, supplies and materials for an event

Eligibility
Candidates must meet Canada Summer Jobs Program eligibility criteria:
● Be between 15 and 30 years of age at the start of employment
● Be a Canadian Citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act
● Be legally entitled to work according to British Columbia legislation and regulations

International students are not eligible. Recent immigrants are eligible if they are Canadian Citizens or permanent residents.
