Position: Program Funding Coordinator
Organization: Ontario Nature
Location: This position can work remotely within Ontario in accordance with our Remote Work Policy. The selected candidate must be willing to work from the head office (Toronto) occasionally for team meetings and as requested.

Position Overview

Ontario Nature is seeking a motivated and detail-oriented Program Funding Coordinator to join our team for a one-year maternity leave contract. The coordinator helps to plan and implement Ontario Nature’s initiatives to secure $1-$2 million in program funding annually from foundations, companies, and government. They play an important role as part of the development team, working with program staff to secure grants and contributions for programs and projects.

The ideal candidate has a background in fund development or administration and strong interest in nature and environmental protection. They have excellent administration and communication skills with a meticulous attention to detail. The ability to lead a staff team through the proposal development process and enhance important relationships with funders is key to success in the role. The successful applicant will join a motivated team, work across departments and report to Ontario Nature’s Philanthropy Director.

Principal Responsibilities

Grant Administration and Coordination: 

  • Coordinate the administration of all grants including filing of final documents, maintaining detailed funder tracking sheets, calendars for proposals, reporting deadlines and payment schedules. 
  • Maintain clear, timely and effective internal communications with staff and provide internal weekly updates.

Proposal Development: 

  • Coordinate all aspects of the proposal development process including creation of work-back schedules and ensuring final review and submission of proposals, reports and supporting documents. 
  • Draft proposals for specific funders, drawing on cases for support, existing proposals and information from program leads.
  • Coordinate the review and edit all aspects of proposals (including budget, project timeline, sponsorship package), reports and other supporting documents with strong critical thinking and editorial perspective.

Funder Communications and Stewardship: 

  • Coordinate communications with institutional funders including grant acknowledgement, recognition opportunities, reporting and ongoing stewardship. 

Prospect Research: 

  • Assist in tracking and researching program funding prospects by investigating, identifying and building relationship with prospective organization, foundation, corporate and government funders.

Other: 

  • Assist with planning, coordinating and delivering fundraising and donor cultivation events and other special projects. 
  • Establish and maintain a good working knowledge of Ontario Nature’s program activities, priorities and needs. 
  • Adhere to standard of ethics consistent with AFP Donor Bill of Rights and Ontario Nature’s philosophy, culture, and values. 

Skills and Qualifications

  • Post-secondary education with relevant work experience desired.
  • Demonstrated ability to coordinate those involved in the grant writing and reporting process to ensure deadlines are met.
  • Excellent organizational skills, ability to prioritize multiple projects and a meticulous attention to detail.
  • Excellent writing along with strong verbal and listening skills.
  • Demonstrated interpersonal skills and initiative.
  • Ability to self-motivate, prioritize and work independently with little supervision.
  • Demonstrated knowledge of successful fundraising practices.
  • Proficiency in Microsoft Outlook, Word, Excel and PowerPoint.
  • Experience with Raiser’s Edge and design skills are assets.
  • Maturity, good judgment, and the ability to work with confidential information.
  • A positive outlook with a good sense of humour and ability to be composed under pressure.
  • A love of nature and the outdoors.

Anticipated Start Date: August 2025

Type of Position: Full-time, 1-year maternity leave contract

Compensation: $49,849 - $61,177 per year, commensurate with experience

Location: This position is based at Ontario Nature’s Head Office – 720 Bathurst St, Toronto, ON. This position can work remotely within Ontario in accordance with our Remote Work Policy. The selected candidate must be willing to work from the head office occasionally for team meetings and as requested. 

Working Conditions: This position requires flexibility to accommodate occasional work on weekends and evenings for meetings, events and to meet certain funding deadlines. This position requires extensive sitting, typing and time spent viewing computer screens.
