Position: Coordinator, Retrofit Accelerator Projects

Location: Toronto ON / Hybrid. (TAF staff work an average of two days/week in our downtown Toronto office.)

About TAF

TAF is a regional climate agency that invests in low-carbon solutions for the Greater Toronto and Hamilton Area (GTHA) and helps scale them up for broad implementation. We are experienced leaders and collaborate with stakeholders in the private, public and non-profit sectors who have ideas and opportunities for reducing carbon emissions. About TAF’s Coordinator, Retrofit Accelerator Projects

TAF’s Retrofit Accelerator puts ideas into action by supporting deep energy retrofits in the GTHA’s multi-family building sector. We collaborate with building owners, governments, utilities, and community stakeholders to maximize environmental, health, and economic outcomes.

We’re looking for a highly organized, detail-savvy Coordinator to keep our internal team and external partners moving forward smoothly. If you enjoy making systems run better, juggling multiple priorities, and supporting meaningful climate work—you could be a great fit.

What you’ll do:

Project Coordination

  • Keep retrofit projects on track by managing daily workflows, deliverables, and documentation.
  • Monitor project budgets and timelines, coordinate invoice payments, and flag issues early.
  • Help develop core project materials like schedules, scopes of work, and reports.

Process Improvement

  • Help identify and implement improvements that increase consistency, clarity, and success.
  • Support the development of project management tools and standards.

Meeting & Admin Support

  • Schedule and coordinate meetings (virtual, hybrid, and in-person), manage agendas, and track action items.
  • Organize and maintain project data and documents for easy team access.

Organizational Excellence

  • Collaborate with staff across the organization to align work, share knowledge, and strengthen impact.
  • Contribute positively to TAF’s culture and professional community through meetings, planning sessions, and staff-wide initiatives.

Essential to have:

  • Attention to Detail: Reviews work carefully to catch errors and ensure accuracy in documents and communications.
  • Communication: Shares ideas clearly in writing and speech; adjusts tone and style to fit the audience and situation.
  • Digital Fluency: Uses Microsoft Office, budgeting tools, and task management platforms confidently to support daily work.
  • Task Management: Stays organized, keeps track of deadlines, and follows through on assignments.
  • Team Support: Responds to team needs, offers help proactively, and contributes to a positive, collaborative environment.
  • Adaptability & Problem-Solving: Handles changing priorities with flexibility; looks for practical solutions and process improvements.
  • Project Management: Assists with meeting prep, tracks budgets and action items, and keeps project files well-organized.

Helpful to have:

  • Knowledge or interest in climate change, energy, and the building sector.
  • Experience supporting construction or retrofit projects.

Experience & Qualifications:

Essential to have:

  • Experience: At least one year of experience in an administrative or project coordination role.
  • Education: Post-secondary degree or diploma in a relevant field (e.g. Project management, business administration) or equivalent work experience.

Helpful to have:

  • Experience supporting building or construction project teams.

What we offer:

The starting annual salary range for this role is $61,700 to $64,000. We use an established pay grid and follow a consistent an equitable approach to compensation to ensure fairness across our team and equal pay for equal work. Candidates whose experience and qualifications exceed the listed requirements may be offered a starting salary at the higher end of the posted range.
