Position: Administrative and Marketing Coordinator
Organization: Fraser Valley Organic Producers Association
Job Location: Hybrid, remote work with in-person meetings and conferences. Must be located in the Lower Mainland, BC.

  • Pay: $26/hr with Annual Cost of Living Increase
  • Work Hours: 20 hrs/week with opportunity to increase. Must work 75% of hours within Monday-Friday, 9am – 4pm
  • Must live in the Lower Mainland or be able to travel there weekly or as needed.

Job Description

Administrative and Marketing Coordinator is managed by the Administrator and is responsible to the Board of Directors. The Administrative and Marketing Coordinator assists with the day-to-day administration tasks as required for FVOPA’s Certification Programs. Additionally, Administrative and Marketing Coordinator coordinates and executes FVOPA’s various marketing and advertisement projects. The Administrative and Marketing Coordinator must sign an annual work, confidentiality, and conflict of interest agreements/contracts.

Administrative and Marketing Coordinator responsibilities include but not limited to:

Marketing tasks

  1. Develop and implement marketing strategies and campaigns.
  2. Assist with website maintenance and updates.
  3. Research companies and contacts within the food and beverage production industry.
  4. Gather marketing stats, report on progress, and provide insights on improvements.
  5. Create and implement a communications strategy with both existing and potential operators which includes both mandatory and value-added information.

Administrative Tasks

  1. update and maintain all operational and membership databases and files such as the document register, complaints and appeals log, findings register, operators list, CRM, operational files, etc.
  2. Produce/revise FVOPA forms as required.
  3. For all in person and virtual meetings - arrange location, prepare suggested agenda and relevant reports, attend the meeting and record minutes including action list and circulate for amendments/approval.
  4. Assist with and carry out general administrative tasks assigned and supervised by the administrator in accordance to the procedure manual such as facilitating the annual signing of contracts and COI’s, administration of Logo agreements, preparation of the internal audit and management report, creation and maintenance of Export Transaction Certificates and NOP Import Certificates, attendance of ISO 17065, COR and IOAS accreditation audits, and annual allocation of inspections to Verification Officers.
  5. Provide support as necessary to the Administrator and Assistant Administrator to effectively run the certification program while adhering to the confidentiality and conflict of interest policies of FVOPA.
  6. Perform additional tasks as needed once training is provided.

Qualifications include but are not limited to:

  1. Bachelor’s degree in business, marketing, or communications, or commensurate experience.
  2. At least 2 years working in an equivalent role. Work experience with non-profits and Board of Directors is an asset.
  3. Experience with regulatory and compliance programs – knowledge of the Canadian Organic Regime is an asset.
  4. Proficiency with WordPress, Microsoft suite, CRM management, graphic design tools such as Canva and Adobe creative suite, and Adobe Pro (creation and maintenance of fillable pdf’s).
  5. Experience with quality control, and policy/procedural systems.
  6. Self motivated and capable of working independently and in a team environment to meet deadlines and complete tasks in a timely manner.
  7. Attention to detail.
  8. Comfortable with flexible work environments where tasks and daily structure varies.
  9. Experience working in remote or hybrid work environments.
