Job description

FMNS is seeking a detail-oriented and organized Administrative Officer to join our team for an 8-week full-time contract (with intention of extension). This position will be filled by a dynamic, focused, self-motivated individual and team player who is passionate about our local economy, food security, local producers, and farmers’ markets. This position is based in Nova Scotia with the ability to work from home on a flexible schedule.

In this role, you’ll support the day-to-day operations of our cooperative—helping to keep our organization coordinated and on track. If you’re a natural multitasker who enjoys collaborative work and thrives in a flexible environment, we’d love to hear from you. The ideal candidate is a self-starter capable of handling and prioritizing multiple tasks at a time, combined with a passion for local food.

The Administrative Officer is responsible for a range of administrative and operational tasks that are essential to our organization’s success. You’ll work closely with the Executive Director and provide direct support to our team, programs, and members. From organizing digital files to coordinating meetings and managing internal communications, your work will keep FMNS running smoothly behind the scenes.

Key responsibilities:

  • Act as the main point of contact for general inquiries via email and phone
  • Triage and redirect communication to appropriate staff
  • Provide administrative support to FMNS staff
  • Schedule meetings and coordinate logistics with members, partners, and stakeholders
  • Maintain and organize digital records via Google Drive
  • Support internal communications with FMNS members and stakeholders, such as our industry newsletter
  • Track and manage grant claims from FMNS members
  • Support administrative aspects of FMNS programming and projects
  • Assist in the creation and organization of digital content for FMNS resource libraries
  • Occasionally take on “odd jobs” and other coordination tasks as needed

Please note: Roles and responsibilities are subject to change over the course of this contract.

You’re a good fit if you:

  • Are aged 30 or younger, with a valid Social Insurance Number (SIN)
  • Are a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada
  • Are highly organized, communicative, and self-directed
  • Enjoy working with digital tools and online communications
  • Are comfortable working remotely and independently
  • Have strong attention to detail and enjoy administrative work
  • Are passionate about local food systems and community-based organizations

Terms of contract

  • Remuneration
    • Flexible workweek; 32 hours per week for 8 weeks (with intention to extend into a permanent part-time position of 20 hours per week after)
    • $23/hour
  • Reporting to
    • Reporting to the Executive Director, while working indendently and occassionally with the Executive Director, Membership & Programs Lead, and Communications & Creative Lead
  • Location
    • The Administrative Officer will work remotely from their own home office or other workspace available to them in their community
  • Anticipated contract start & end dates
    • Contract start date: Monday, June 23, 2025
    • Contract end date: Friday, August 15, 2025 (with intent to extend)
