Volunteer Position: Event Coordinator

ABOUT US:

The Community Climate Council (CCC) is based in Peel Region, Ontario, led by a committed team of environmental advocate volunteers who are driven by the urgency of the climate crisis. Founded with the vision of creating a platform for local voices to demand action, our work is rooted in community-led solutions. We approach every project with a focus on collaboration, and equity, ensuring that our efforts are both community-centered and solution-driven.

ROLE DESCRIPTION:

The Community Climate Council is seeking an Event Coordinator to plan and deliver engagement events that support the organization’s mission and values. This includes but is not limited to coordinating networking sessions, outdoor events, and tabling activities hosted by the Community Climate Council and its partners, engaging community members and youths across Peel Region and the Greater Toronto Area. The role oversees event logistics and guest speaker hospitality, ensuring well-organized and welcoming experiences. The Event Coordinator is part of the Community Outreach team and reports to the Head of Community Outreach.

KEY RESPONSIBILITIES:

  • Assist in the development of events, ensuring topics are highly relevant and engaging for key audiences, including youth, community members, and environmental enthusiasts, and that events are inclusive, accessible, and advance the organization’s mission and values.
  • Develop and execute work plans for public-facing events.
  • Track event budgets and expectations in collaboration with the Head of Community Outreach, ensuring timely payment of vendors and guest speakers.
  • Create and maintain guest lists for promotions and invitations, and develop promotional plans in coordination with the communications team.
  • Book venues and catering, and prepare detailed event agendas.
  • Maintain ongoing communication with event partners, vendors, and volunteers, while reconnecting with and strengthening existing partnerships.
  • ●Create workback schedules and project plans for events, and collect metrics to evaluate event success.
  • Facilitate on-site event execution, ensuring events run smoothly and professionally.

QUALIFICATIONS:

Skills and Experience:

  • Experience hosting and organizing professional events, particularly in the not-for-profit sector.
  • Strong community engagement skills, including networking and volunteer management.
  • A passion for climate change resilience and environmental issues, with understanding and experience in running green events.
  • Strong attention to detail and the ability to anticipate issues and solutions.
  • Strong communication skills, including proficient email etiquette, negotiation, and time management.

Personal Attributes:

  • Self-motivated with the ability to manage multiple tasks and priorities effectively.
  • Eagerness to learn and gain hands-on experience in program development and climate action.
  • Passionate about creating positive change and fostering community resilience.
  • Adaptable and flexible in a dynamic work environment.

Additional Assets:

  • Degree (or in progress) in hospitality, public relations, or a related field.
  • Experience planning engaging youth events and familiarity with or attendance at past Green Drinks events.
  • Based in Peel Region with access to reliable transportation for venue visits.
  • Established relationships with local vendors in Peel are a strong plus.
