Position: School Program and Group Tour Booker
Organization: Royal Botanical Gardens
Location: Burlington / Hamilton area, Dundas, Ontario

Royal Botanical Gardens (RBG) is seeking a detail-oriented and customer-focused individual to join our team as the School Program and Group Tour Booker on a 12-month contract.

This role is responsible for managing all communications and logistics related to school program registrations, group tour bookings, and photography permits. You will play a key role in ensuring a smooth and welcoming experience for educators, group organizers, and photographers.

Key Responsibilities

  • Manage inquiries and registrations using internal databases and systems for school programs, group tours, and photography permits.
  • Serve as the primary point of contact for customers, providing professional and courteous support throughout the booking and payment process.
  • Prepare invoices, process payments, and ensure accurate financial reconciliation.
  • Attend scheduling meetings to coordinate bookings and resolve potential conflicts.
  • Maintain records of program offerings, staff availability, and volunteer coordination.
  • Track attendance and compile reports to support program evaluation and planning.
  • Greet groups and support program staff to ensure a positive visitor experience.

Knowledge:

  • Familiarity with the Ontario school curriculum and informal learning environments.
  • Understanding of customer service best practices and conflict resolution.
  • Experience with credit card processing and basic accounting procedures.
  • Awareness of safety protocols for school groups and public visitors.
  • Knowledge of contract issuance and deliverables related to group tours and permits.

Skills:

  • Strong verbal and written communication skills.
  • Excellent organizational and time management abilities.
  • Ability to build relationships and collaborate with internal teams and external stakeholders.
  • Critical thinking and problem-solving skills.
  • Proficiency in registration platforms, scheduling tools, Microsoft Office Suite, and digital communication systems.
