How you will contribute as part of the TRCA team:

The Project Coordinator is responsible for coordinating and supporting project lifecycle functions.

The Project Coordinator provides administrative, logistical and technical support to project teams and procurement functions. This role supports the planning and execution of projects by coordinating procurement activities and the administrative aspects and processes of projects.

Major Responsibilities:

  • Contributes and supports the procurement and contract management processes under the guidance of the project lead in collaboration with the procurement and contract management teams (e.g., prepares and manages procurement documents, evaluation criteria, vendor communications etc.)
  • Coordinates meetings, supports the preparation of agendas and presentations, take minutes as requested, and conducts follow-up on action items to ensure milestones are being met
  • Supports in maintaining accurate project schedules, coordinates tracking of projects, tasks, timelines and deliverables
  • Maintains records and file archives; ensures accurate and accessible project information and adheres to TRCA record retention policies
  • Coordinates TRCA and other agreements and permissions required for projects and related approvals

What will you need to succeed:

Education (degree/diploma/certifications)

  • Post-secondary diploma or degree Business Administration, Project Management, Procurement or a related field.
  • Valid Ontario Class G2 driver's license

Experience

  • 2+ years of experience providing project coordination, procurement support, or contract administration

Knowledge/Skill/Ability - Competencies

  • Excellent organization skills; both in-office and virtual files/share office spaces
  • Sound customer service orientation
  • Strong verbal and written communication skills
  • Understanding and application of basic mathematical functions (e.g., adding, subtracting, measuring, money computation)
  • Demonstrated ability to prepare consultant/supplier terms of reference and procurement documents
  • Able to comprehend written documentation and procedural guidelines; skilled in writing clear correspondence (concise, logical, grammatically correct)
  • Ability to communicate effectively with tact and courtesy
  • Able to self-manage workload and prioritize tasks as an ongoing challenge in a frequently fluctuating workload and multiple deadlines
  • Proficiency in MS Office suite including online software such as MS teams, WebEx, and SharePoint; proficiency using scheduling/project management software and electronic bidding systems (e.g. bids & tenders)
