Location: Ottawa and Eastern Ontario – remote office (The position is primarily remote, but applicants must be located in Ottawa or Eastern Ontario, Canada, for occasional in-person meetings and events.)

Job Description

The Payroll and AP Bookkeeper plays a critical role in EnviroCentre's financial operations, managing accounts payable, corporate credit cards, payroll administration, and employee expense processing. This position ensures accurate and timely processing of vendor invoices through approval workflows and payment execution, while maintaining reconciliations for credit cards, prepaid expenses, and specific vendor accounts. The role oversees all aspects of payroll processing, including payroll changes, cost allocations, and payroll remittances, and serves as the key liaison between our finance, project management, and HR data systems. Reporting to the Director of Finance, the Payroll and AP Bookkeeper collaborates closely with finance and operations teams to support accurate financial reporting and month-end processes.

Key Responsibilities

  • Lead accounts payable and employee expense claim processing, including invoice approvals, payment processing, credit card reconciliation, vendor account reconciliation, and expense accruals.
  • Oversee bank reconciliations.
  • Process payroll changes, labour cost allocations, RRSP reporting, and health benefits reconciliation.
  • Lead reconciliation of payroll allocations costs to HRIS system data.
  • Maintain monthly expense accruals, reconciliation of payroll and related accounts.
  • Prepare accurate project financial control sheets and labour cost reporting.
  • Support processing of annual vacation and other accruals.​
  • Collaborate with finance and operations teams to ensure timely approvals and data exchange.
  • Support financial statement preparation for various stakeholders.
  • Ensure data integrity for financial reports, audits, and operational cost analysis.
  • Perform other duties as required.

Note: We do not use artificial intelligence (AI) tools to support the screening and evaluation of applications for this position.

Qualifications

  • 5+ years of experience in payroll administration, preferably in a not-for-profit or multi-project environment.
  • 2+ years of experience in accounts payable, preferably in a not-for-profit or multi-project environment.
  • Post-secondary training or certification in accounting/finance/bookkeeping, or equivalent experience.
  • Strong skills in electronic accounting software (i.e. QuickBooks Online, ApprovalMax), and electronic, self-managed payroll systems.
  • Meticulous attention to detail, excellent time management, and organizational abilities.
  • High proficiency in Microsoft Office Suite and digital collaboration tools.
  • Commitment to confidentiality, accuracy, and process improvement.
  • Ability to work independently and within a collaborative remote finance team.
