Position: Operations Manager (Halifax/Hybrid)

Position Overview

Net Zero Atlantic (NZA) is working on one of the region’s most significant transitions: enabling Atlantic Canada’s path to net zero.

As Operations Manager, we need you to drive operational excellence in an agile organization with $15M in annual revenues, thirty employees, five broad strategic areas of focus with more than thirty-five programs and projects in Atlantic Canada. You will lead continuous improvement of our processes and systems to support our strategic plan.

Net Zero Atlantic is an independent, non-profit, energy-research organization dedicated to advancing Atlantic Canada’s transition to a net-zero energy future. We are a hybrid organization, headquartered in Halifax with staff in five locations across Canada. About the Opportunity

In this permanent full‑time position, you will lead core operational functions that keep Net Zero Atlantic running smoothly and effectively in a hybrid work environment. Reporting to the Director of Finance and Administration, you will be responsible for:

  • Advancing operational excellence in an organization focused on energy and climate research in Atlantic Canada.
  • Leading cross-functional teams to map, document, and improve business processes to enhance efficiency, clarity, and coordination in a growing organization.
  • Overseeing digital systems and information management, including Microsoft 365, SharePoint, Monday.com, and other workflow platforms, domain, and account management, and acting as a key point of contact for IT support.
  • Developing and monitoring business metrics to drive continuous improvement in proposal tracking, contract lifecycle support, project setup, and grant and funding contracting.
  • Supporting the organization’s quarterly budgeting process by working with project delivery teams to ensure consistency in financial reporting.
  • Supporting the contract review process by learning to assess key contractual terms and steering agreements through the contract management system to final signature.
  • Supporting governance and compliance activities across the organization.
  • Managing facilities and organizational assets.
  • Acting as a liaison with partners, funders, vendors, and collaborators, supporting smooth communication and coordinated project operations and events.
  • Supporting the Director of Finance and Administration as required in activities that further Net Zero Atlantic’s mandate.

Your Qualifications Include:

  • 3-5 years of progressive experience in operations, business systems, or office management in a complex, project‑based environment.
  • Education in industrial engineering, business, operations, or a related field, or equivalent relevant experience is an asset.
  • Demonstrated leadership in operations and process management, with an initiative-taking, goal-focused approach to improving workflows and systems.
  • Experience in documenting, measuring, and improving processes to identify deficiencies and work with cross-functional teams to implement solutions.
  • Effective communication and cross‑team collaboration skills, with the ability to influence and support teams of varying seniority across projects.
  • Strong attention to detail and sound judgement, with the ability to effectively prioritize and deliver in a dynamic, fast‑paced environment.
  • Proven experience operating in Microsoft 365, SharePoint, and other digital platforms, including permissions, structure, and document control.
  • Proficiency with operational software and productivity tools, including Microsoft Office and Monday.com or equivalent, with the ability to identify and implement opportunities for improved use.
  • Experience providing structured coordination for projects and contracts, including proposal tracking, project setup, and grant or funding documentation is an asset.
  • Experience contributing to governance and compliance, including Board of Directors reporting, annual report coordination, and OH&S responsibilities is an asset.
  • Experience working in a not-for-profit environment is an asset.
  • Ability to work in-person at our Halifax office once per week is an asset.
