Metro Vancouver Regional Parks Foundation is a registered charity dedicated to protecting, enhancing, and connecting people with Metro Vancouver’s incredible regional parks. Through community partnerships, fundraising, education, and stewardship, the Foundation helps ensure these natural spaces remain accessible, healthy, and inspiring for generations to come.

The Foundation also supports CTS Youth Society, a charitable organization that delivers free environmental leadership and summer camp programs for youth ages 12–18 throughout Metro Vancouver Regional Parks, helping young people build confidence, leadership skills, and a lifelong connection to nature.

Position Summary

The Administrative & Programs Coordinator provides administrative, operational, and program support across Metro Vancouver Regional Parks Foundation and CTS Youth Society. This role plays a key part in ensuring programs run smoothly, records and systems remain organized, and community members, partners, donors, and applicants receive excellent support.

The Coordinator will manage program administration, application processes, reporting, databases, office operations, and stakeholder communications while also providing communications support during a maternity leave period. Communications responsibilities will include assisting with website updates, newsletters, social media content, and storytelling that highlights the impact of Foundation programs and initiatives.

The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and enjoys supporting both people and processes in a mission-driven environment.

Key Responsibilities

Administration & Program Coordination (75%)

Program Administration & Delivery

Support the administration and delivery of Foundation programs, including:

  • Bus Grant Program
  • Commemorative Gifts Program
  • Seniors in Regional Parks Program
  • George Ross Legacy Stewardship Program
  • Funding inquiries and community requests
  • Scholarships and awards programs
  • Other Foundation initiatives as assigned

Responsibilities include:

  • Managing program applications, intake processes, approvals, and participant communications
  • Responding to inquiries from community groups, partners, donors, and the public
  • Maintaining accurate program records, databases, and tracking systems
  • Coordinating program timelines, logistics, and reporting requirements
  • Assisting with program evaluation, impact tracking, and continuous improvement
  • Supporting grant and scholarship administration, adjudication processes, and reporting

Administrative & Office Operations

  • Provide reception and front-line support for visitors, callers, and general inquiries
  • Coordinate meeting scheduling, calendars, room bookings, and logistics
  • Prepare meeting materials, agendas, minutes, and follow-up documentation
  • Maintain digital and physical filing systems and organizational records
  • Support procurement and office supply management
  • Assist with organizational policies, procedures, and administrative processes
  • Support board and committee administration as required

Database & Systems Management

  • Maintain CRM and contact databases (Keela or similar)
  • Ensure accurate donor, partner, volunteer, and program records
  • Support data entry, reporting, and information management
  • Assist with website content updates and online application systems
  • Maintain accessible and organized program files and documentation

Government & Partner Relations Support

  • Assist with reporting requirements for grants, funders, and government partners
  • Support coordination with Metro Vancouver and other public-sector partners
  • Help prepare documentation, presentations, and reports for stakeholders

Events & Community Engagement

  • Coordinate logistics for community events, and outreach activities
  • Support volunteer, donor, and partner engagement initiatives
  • Assist with event registration, materials preparation, and on-site coordination

CTS Youth Society Support

  • Provide administrative and program support to CTS Youth Society as needed
  • Assist with camper, volunteer, and stakeholder communications
  • Support reporting, recordkeeping, and program coordination activities

Communications Support (25%)

Provide communications support during a maternity leave period, including:

  • Assisting with website updates and content management
  • Supporting e-newsletters, annual reports and stakeholder communications
  • Drafting program updates, impact stories, and organizational announcements
  • Assisting with social media scheduling and content creation
  • Supporting fundraising campaigns and community engagement initiatives
  • Helping maintain consistent messaging across communications materials
  • Collecting program stories, photos, and impact information for future communications

Qualifications

Required

  • Experience working in an administrative or office coordination role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Strong customer service and interpersonal skills, with experience interacting professionally with a wide range of stakeholders
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to manage multiple priorities and deadlines
  • High attention to detail and accuracy
  • Ability to work independently and collaboratively
  • Positive attitude and willingness to learn

Nice to Have

  • Experience working with nonprofit organizations or registered charities
  • Familiarity with WordPress website administration
  • Experience with grant applications and grant administration
  • Experience using Keela donor management software
  • Experience supporting volunteers, donors, or community programs
  • Experience working with government agencies, municipalities, regional districts, or public sector organizations such as Metro Vancouver
  • Understanding of government processes, reporting requirements, and stakeholder engagement
