Position: Operations Manager
Organization: Guelph Tool Library
Location: downtown Guelph, Ontario

Description of the Guelph tool Library:

The Guelph Tool Library is a volunteer run, not for profit corporation that has been operating in Guelph, Ontario for 10 years with a philosophy of reducing waste through re-use, lending, and promoting a sharing and caring community.

We operate a membership driven Tool Library in downtown Guelph in a 3000 sq. ft. retail space which houses, as well as our Library, Program space, a Bicycle repair hub, and our offices. We operate an annual budget of approximately $200,000 which is made up of Library income, a strategic Community Benefits Agreement (CBA) with the City of Guelph, and specific operational grants.

In addition to the Tool Library, we, as an organization, currently carry out nine environmentally and socially progressive programs throughout the year, and hold a similar number of events, including some fundraising. These programs and events are run by volunteers and are to fulfil the requirements of our grants and agreements and promote our philosophy.

Description of Position:

The title of the position is Operations Manager, a new position in the organization. The successful candidate will be responsible for the management of the day to day operations of the Guelph Tool Library. They will be expected to represent the Library to the community, City, and other organizations, and be the primary contact point for the organization. You will report to the current Director, a volunteer position responsible to the Board of Directors.

The responsibilities of the Operations Manager are:

  • Primary point of contact for the Organization including the City for our CBA agreement.
  • Day to day management including H&S, expense management, contract writing, insurance coverage, physical space.
  • Day to day management of the Tool Library including volunteer training, scheduling, and recognition - primarily for the Library, but also for Programs and Events. Oversight of the custom My-Turn software that runs the Library and custom Better Impact software for scheduling volunteers.
  • Sit on the Organization’s Finance Committee and lead in annual budgeting, create the annual report, and AGM organization.
  • Assist in grant writing and reporting.
  • Communications and marketing including the newsletter, website, and social media.
  • Assist with GTL member run events throughout the year
  • Assist with GTL member run programs throughout the year.

Skills, Experience, and Qualifications:

  • Strong communicator and a strong command of written and verbal English.
  • Ability and interest in working with a diverse community and volunteers.
  • Skilled in the use of word processing, spreadsheets, publishing software, social media, and custom software.
  • Experience with volunteer organizations and non for profit organizations
  • Understanding of budgets and finance.

Terms, salary, and benefits

This is a full time, two year, renewable contract. The hours are 35/week Tuesday to Saturday 11:00 - 6:00 with Friday as an optional off-site day. Two weeks of holidays annually.

The Operations Manager will work out of the offices of the Guelph Tool Library in downtown Guelph.

The salary is nominally $60,000 annually with the standard benefit plan offered by The Co-operators, paid bi-weekly with a three month probation period.
