Position: Community Engagement & Operations Coordinator (Part-Time, Hybrid – Muskoka)

About the Lake of Bays Heritage Foundation

The Lake of Bays Heritage Foundation (LBHF) is a volunteer-driven land trust dedicated to protecting ecologically significant lands across the Lake of Bays region and north Muskoka. We steward 624 acres of conservation land, lead popular nature-based programs, and collaborate with landowners, ecologists, and community partners to conserve the region’s natural heritage for future generations.

We are also collaborating with the Ontario Conservation Accelerator to strengthen our conservation impact and build organizational capacity as we grow.


Position Overview

The Community Engagement and Operations Coordinator supports LBHF’s community engagement initiatives, communications, public programs, and organizational operations. The role plays a central coordination function—keeping systems organized, the community informed, and programs running smoothly—while working closely with Board members, committees, and volunteers.

As LBHF’s first paid staff position, this role offers a unique opportunity to grow alongside a mission-driven organization. It is well suited to a detail-oriented, self-directed individual who is comfortable working independently from home and on-site during the summer, and who is motivated by conservation and community engagement.

The primary focus of the role is communications, coordination, and maintaining organizational systems. Responsibilities shift seasonally and may evolve over time in response to organizational priorities and the strengths of the successful candidate.

This role is central to ensuring LBHF’s work is visible, well organized, and well supported as the organization continues to grow.


Key Responsibilities

Communications & Marketing

  • Create and manage content for the website, social media, newsletters, and fundraising appeals
  • Manage social media accounts and website updates
  • Format and distribute newsletters using CRM templates
  • Support media relations, including drafting press releases and responding to inquiries
  • Collaborate with designers and vendors on communications materials
  • Support the Communications & Marketing Committee as needed

Administration & Organizational Support

  • Support document digitization and cloud-based file management
  • Assist with governance systems (e.g., GovernWell) and Executive Committee administration
  • Maintain donor and membership records in the CRM and prepare summaries
  • Manage general inquiries received through the organization’s main email account
  • Review visitor records and prepare an annual consolidated report
  • Support core organizational systems related to communications, records management, and engagement

Fundraising, Programs & Grants

  • Support fundraising activities, donor communications, and stewardship
  • Coordinate logistics and on-site support for nature programs, events, and the AGM
  • Capture photos and videos for communications use
  • Research funding opportunities and support grant applications and reporting

Property Stewardship & Land Securement

  • Support the Land Securement and Stewardship Committee through coordination, documentation, and communications support (non-field-based)

Education & Experience

  • Diploma or degree in communications, environmental studies, nonprofit management, or a related field, or an equivalent combination of education and experience
  • Experience supporting communications, community engagement, nonprofit operations, or program coordination
  • Experience creating content for digital and print communications
  • Experience working with volunteers or community groups
  • Fundraising or grant-writing experience is an asset
  • Experience with a land trust or conservation organization preferred

Skills & Competencies

  • Strong written and verbal communication skills
  • Excellent organizational and time-management skills
  • Ability to work independently while collaborating with a small team and volunteers
  • Comfort using digital tools (email, Microsoft Office or Google Workspace, CRM systems, cloud file storage, social media)
  • Interest in learning or using generative AI tools to support communications and research
  • Professional judgment and discretion with confidential information
  • Adaptability and interest in conservation and community-based work
  • Willingness to attend 6–8 weekend events between May and September
  • Valid driver’s licence and access to transportation

Working Conditions

  • Reports to the President (or designate)
  • One-year part-time contract, renewable based on performance and funding
  • Typically 20–30 hours per week, with increased hours in summer and reduced hours in winter
  • Hybrid role with some on-site work at Marsh’s Falls Nature Reserve (May–September)

Compensation

$31–$35 per hour, based on experience and qualifications (approximately $40,000–$45,000 annually at ~25 hours per week).
