Job Summary

The Director of Finance & Operations is responsible for overseeing and providing strategic management to the Salal Foundation’s internal operations. This role is ideal for someone who can operate at a senior, strategic level but is also comfortable with managing day-to-day finance and accounting functions. This role not only supports the Salal Foundations Finance and Accounting needs but also works with Salal’s many partners to assist and set them up for long-term success. This role will have a significant focus on optimizing financial systems and processes to ensure the financial health of the organization and its partners. This position will expand to oversee multiple functions across the organization including admin, HR, technology and risk.

This position reports directly to the CEO.

As the Director of Finance & Operations, you will:

Finance/Accounting Management

  • Oversee and maintain the organization’s finance function, in collaboration with an outsourced accounting firm (Controller & CFO).
  • Manage bank accounts and financial transactions using QuickBooks.
  • Ensure accurate and compliant financial records and reports.
  • Prepare bank deposits and related financial entries.
  • Create invoices and billing for programs and funder reconciliation.
  • Manage month end and year end processes and maintain up-to-date records and entries to ensure accurate financial records.
  • Oversee management of company credit cards including reconciliations.

Payroll

  • Oversee the complete payroll process for multiple organizations operating in different provinces (The Salal Foundation and other small non-profit partners).
  • Ensure accuracy of data in the payroll systems (RISE, Clockify, QuickBooks).
  • Review and approve timesheets.
  • Process staff expenses and reimbursements, ensuring supporting documentation and receipts.
  • Ensure that company policies and the relevant clauses of the collective bargaining agreement are adhered to.

Regulatory Compliance

  • Ensure compliance with CRA and provincial regulatory requirements.
  • Managed remittance for workers compensation boards in accordance with requirement (BC, ON, AB).
  • Maintain and strengthen internal controls and financial policies and practices.
  • Provide and issue all required documents in accordance with applicable laws (ROE’s, T4’s, T2200’s, among others).

Grant/Funding

  • Manage the Financial Administration of grant and funding agreements.
  • Support the Partnership Services team with financial component of grant applications and submissions.
  • Set up grant accounts, monitor funds, and reconcile discrepancies.

Process Optimization

  • Assess current systems, processes, and workflows and identify opportunities for improvement.
  • Evaluate and asses' tools and systems to support greater operational efficiencies.
  • Implement recommendations and best practices identified through Salal’s fractional CFO.

Budgeting

  • Work closely with third-party CFO on the organization's annual budgeting process.
  • Prepare and forecast annual expenses and revenue.

Organizational Leadership & Internal Service Delivery

  • Participate as an active member of the Leadership team, working collaboratively within the team.
  • Provide subject matter expertise and strategic recommendations and direction on Finance and Accounting.
  • Manage a cross-functional team, foster a culture of accountability and respect.

Who You Are

Education and Experience

  • Bachelor's degree in Finance, Accounting or related field. CPA designation or equivalent knowledge preferred.
  • Minimum 7+ years of experience in Financial Operations, Administration or Management (nonprofit experience preferred).
  • Minimum 2+ years of experience leading high performing, cross functional teams.
  • Extensive experience and knowledge of all aspects of organizational accounting and financial management.
  • Experience working in a fully remote or distributed environment is preferred.
  • Proven experience improving systems, tools, and organizational processes.
  • Prior experience in project management and policy development is considered an asset.
  • Prior experience managing employees and payroll in a unionized environment would be a significant asset.
  • Background with Non-profit experience preferred.

Technical Skills

  • Previous experience in QuickBooks is required.
  • Strong technical understanding of spreadsheets and formulas.
  • Experience using Google Suite, Asana, Clockify are all considered assets
