Position: Executive Administration Assistant
Organization: Canadian Parks and Wilderness Society Southern Alberta Chapter
Location: Calgary, Alberta / Hybrid

The Executive Administration Assistant position is a 1-year full-time role with CPAWS Southern Alberta with the possibility of extension.

Reporting to the Finance and Operations Director and Executive Director, the successful candidate will play a key role in supporting daily chapter operations.

This is a vital position for ensuring the functioning of the Southern Alberta chapter and supporting staff to achieve the organization’s strategic goals. This position offers an opportunity to develop the candidate’s skills and knowledge related to office management, bookkeeping, and administration.

Responsibilities

Bookkeeping (25%)

  • Manage payables, receivables, bank accounts, and other transactions including generating payments and invoices and doing bank deposits.
  • Maintain the chapter’s accounting data using QuickBooks Online including preparing and posting journal entries.
  • Assist with the preparation of monthly bank reconciliations and generating financial reports as needed.
  • Assist with the annual audit and preparation of CRA remittances and filings.
  • Assist with payroll and benefits (health and RRSP) administration and maintenance of these accounts.
  • Assist with annual budget preparation.

Office Administration (25%)

  • This position is the administrative engine that keeps the organization humming.
  • Manage general phone line, general email inbox, mail, and support internal team communication.
  • Maintain the chapter’s digital and hard copy filing systems including organization and management of the SharePoint filing system.
  • Maintain and streamline office systems and manage general office maintenance and supplies, ensuring the physical space, equipment, and facility needs of the organization by liaising with landlord and managing accounts as the contact person with service providers.
  • In coordination with Communications and Outreach teams, manage inventory of publications and products.
  • Coordinate IT needs for staff and assist staff with the use of office technology.
  • Work with the Finance and Operations Director to improve and implement office policies and procedures that will support efficiency in the organization
  • Provide scheduling and logistic support for chapter team meetings and events.
  • As needed, assist with AGLC reporting and event coordination, National Office reporting, annual returns, and insurance requirements.
  • Other duties as assigned by the Finance and Operations Director.

Executive Director Support (25%)

  • Assist the Executive Director with:
    • communications and agenda management,
    • travel arrangements,
    • expense reconciliation.
  • Organizational project management
  • Other duties as assigned by Executive Director.

Fundraising (10%)

  • Support team fundraising efforts.
  • Mail out thank-you cards and other fundraising materials to donors.
  • Maintain schedule of deadlines for proposals and reports.
  • Liaise with funders as requested by Executive Director and/or Program Directors.
  • Liaise with National Office for donor data requirements.
  • Support with preparation of funding applications and grantor reports as required.

Human Resources (5%)

  • Maintain personnel processes (personnel files, track evaluations, up to date job descriptions, workplans, and contracts).
  • Manage contractor contracts.

Team Planning and Development (10%)

  • Participate in staff meetings and shared learning across departments.
  • Participate in ongoing strategic development of the chapter.
  • Reflect, evaluate, and debrief projects, programs, and personal progress.

Qualifications

Education and Professional Certification:

  • Secondary degree or diploma in Administration, Accounting, Business, or a related field is an asset.
  • A combination of extensive hands-on experience (5+ years) in related roles may be considered in lieu of a formal degree or diploma.
  • Must be legally eligible to work in Canada.

Experience & Job-Related Skills:

  • Minimum of three years of related professional experience.
  • Proven experience with bookkeeping specifically using QuickBooks Online.
  • Proficiency in MS Office 365 (Excel, Word, Teams, SharePoint).
  • Strong oral and written communication skills.
  • Proven problem-solving abilities.
  • Experience working or volunteering within the non-profit, charitable management, or fund development sectors is an asset.
  • Previous experience working with CRMs or database platforms is an asset.
  • Relevant skills and experience gained through self-directed projects, volunteering, or casual work are welcomed.
  • Must have reliable transportation to travel within the Calgary area.
  • Ability to work some weekends and evenings.

Position Details

  • Start Date: May 2026 (flexible)
  • 1 year contract with the possibility of extension
  • Full time (37.5 hours per week)
  • Salary: $52,000-$57,500 depending on experience
