Position: Event Coordination & Partnerships Specialist
Type: age 30 & under / summer
Organization: Sustainable Fashion Week Canada
Location: Based in London, ON (60%). Some work from home.
Canada Summer Job – Key Responsibilities
1. Event Planning & Logistics Coordination
- Develop and manage event planning tools (timelines, outreach trackers, budget sheets)
- Assist in planning: Venues, equipment, run-of-show schedules, and floor plans, Set-up and tear-down requirements
- Coordinate materials for: Workshops, repair cafés, circular fashion demos, and youth programming
- Support accessibility planning: Signage, mobility pathways, sensory considerations, inclusive design
- Communicate with vendors, small businesses, artisans, and community partners

2. Outreach & Partnership Development (Core Focus)
- Conduct outreach to: Designers, artists, and facilitators,
- Sponsors and local businesses,
- Media and community organizations
- Track communications, follow-ups, and confirmations
- Support drafting partnership communications and agreements
3. Volunteer Recruitment & Coordination
- Assist with recruiting volunteers, including: Youth, students, newcomers, and equity-deserving groups
- Support: Volunteer onboarding materials, Scheduling systems, Communication channels
- Help design volunteer roles and responsibilities for event delivery
4. Program Development Support
- Assist in shaping the event program: Workshops, runway shows, panels, and activations. Identify gaps in programming and support the coordination of participants
- Help finalize program structure and scheduling
5. Marketing & Promotion Preparation
- Support development of: Event descriptions and promotional copy, Content for social media and event listings
- Coordinate the collection of images, bios, and assets from participants
- Assist in preparing marketing rollout for August/September

6. Environmental Sustainability Integration
- Support planning of: Zero-waste systems
- Recycling, composting, and textile diversion stations
- Assist in integrating circular practices into event logistics
- Help document sustainability metrics for post-event reporting
7. Data Collection & Reporting Preparation
- Develop systems to track: Attendance, Workshop participation, Volunteer engagement
- Prepare tools for post-event feedback and reporting
Eligibility Requirements (Canada Summer Jobs)
- Must be between 15 and 30 years old at the start of employment
- Must be legally entitled to work in Canada
- International students are not eligible under CSJ
Requirements
- Available for occasional evening or weekend meetings/events (as needed)
- Excellent skills in using digital tools such as Google Docs, Sheets, email, and shared drives and managing social media platforms
- Able to communicate professionally via email, phone, and in-person with partners, volunteers, and community members
- Able to manage multiple tasks, stay organized, and meet deadlines in a fast-paced environment
- Willingness to take initiative, follow up on tasks, and work both independently and collaboratively
Education:
Currently enrolled in or recently completed post-secondary education in a relevant field, such as Event Management, Business, Communications, Community Development, Fashion, or Environmental Studies, is considered an asset
