Position: Executive Coordinator (part-time)

The Ontario Land Trust Alliance (OLTA) is an environmental charity, with a mission to empower a vibrant and enduring land conservation community in Ontario. OLTA accomplishes this through providing direct support for nature conservation and stewardship, offering training and educational programs; promoting community networking; helping to ensure land trusts meet (and exceed) a set of national standards and practices; and raising the profile of the work of land and nature trusts.

OLTA is looking for a very organized and proactive individual to join our team as a part-time Executive Coordinator. OLTA's Executive Coordinator will work with the Executive Director to support executive and operational functions for the organization.

This is a part-time position of 20 hours per week initially for 1 year, with opportunities for extension. The position based in Toronto partially at the Centre for Social Innovation and partially remote working. Regular in-person meetings in the Greater Toronto Area, and occasional travel within Ontario will be expected.

The Executive Coordinator will report to the Executive Director.

Responsibilities:

  • Provide administrative support to the Executive Director including scheduling and setting up meetings, coordinating contract and expense approvals, and research.
  • Coordinate and prepare agendas, briefings and documents for Board meetings.
  • Organize virtual and in-person meetings of the Board of Governors and various Board committees, including the Annual General Meeting.
  • Provide support to Board committees as required.
  • Work with operations team to organize staff and member meetings including booking meeting space and using Zoom and Teams.
  • Assist the management and organization of OLTA’s member and engagement database.
  • Be the front of office person, dealing with general phone and email queries and handling OLTA’s mail.
  • General administrative support for OLTA’s finance and operations, including deposit processing and data entry of financial information into QuickBooks.
  • Provide support to the other OLTA staff as required.
  • Other duties as required.

Required Skills:

  • A minimum of 3 years experience in prior similar positions.
  • Strong written and oral communications skills.
  • Strong skills in MS Office Suite (including Office, Teams, OneDrive), Adobe Acrobat.
  • Self-motivated, good organizational skills, detail-oriented, ability to prioritize, multi-task and meet deadlines with minimal need for supervision or reminders.
  • Ability to take initiative, anticipate needs, and be proactive.
  • Demonstrated reliability and consistent follow through on assigned tasks.
  • Working knowledge of QuickBooks is an asset.
  • Experience with Salesforce is an asset.
  • Experience working or volunteering in the charitable sector.
  • Interest in land conservation.

Employment Type:

This is a part-time position 20 hours per week for one year with opportunities for extension. Hours are flexible around core hours; occasional travel within Ontario is anticipated.

The successful candidate is expected to have a suitable home workspace, and also work some hours and attend in-person staff meetings at the Centre for Social Innovation in Toronto.

Salary range: $38,000-$45,000 annualized full-time.
