Position: Development and Donor Relations Coordinator

About The Role:

The Depot is seeking a detail-oriented and mission-driven Development and Donor Relations Coordinator to support our Development and Communications team. This is a one-year contract role, ideal for someone excited to support donor stewardship efforts, manage key administrative systems, and contribute to grant development and corporate engagement.

Working closely with the Director of Development and Communications, the Development and Donor Relations Coordinator will play a key role in strengthening our donor stewardship systems, writing compelling grant applications, and helping grow corporate engagement at The Depot.

We’re looking for someone who takes initiative, has strong organizational skills, keen attention to detail, excellent interpersonal skills, and exceptional oral and written communication abilities in French. Basic knowledge of English is required to carry out certain duties associated with the position, particularly to communicate with English-speaking donors and participants. This requirement is directly linked to the responsibilities of the role.

Key Responsibilities

Donor stewardship, engagement, and Data Management

  • Maintain accurate donor records and manage all donation entries in our CRM (Salesforce)
  • Ensure timely, personalized thank-you letters for all donations
  • Monitor and track incoming donations and recurring donations
  • Prepare donor reports and assist with fundraising mailings and campaigns
  • Support segmented donor stewardship efforts in collaboration with the Director
  • Support the Director in preparing personalized donor communications and stewardship materials

Institutional Giving & Grant Writing

  • Research and track municipal, provincial, and federal government grant opportunities.
  • Lead the writing and reporting of all government grant applications, with strategic guidance from the Director
  • Maintain an internal grants calendar, ensuring deadlines and reporting requirements are met
  • Support writing and reporting for foundation and corporate donation proposals
  • Collaborate with program staff to gather relevant impact data and stories for grants and reports
  • In collaboration with the Director, create and develop a potential donor pool

Corporate Giving, Third Party Fundraising & Volunteer Engagement

  • Help launch and coordinate a new corporate volunteering and giving program
  • Serve as a point of contact for corporate partners (with the Director’s support)
  • Maintain partnership records and follow up with participating companies
  • Lead third-party fundraising initiatives (e.g., schools, businesses, community groups), offering support and resources to external fundraisers
  • Ensure alignment with The Depot’s messaging and values, and track/report on third-party contributions

Prospecting & General Support

  • Assist with research into donor and funder prospects
  • Prepare donor profiles and briefing as needed
  • Support donor cultivation and stewardship events

Communications and Translation Support

  • Provide translation and proofreading support for external communications (e.g. newsletters, program emails, annual report)
  • Contribute to the development and revision of public-facing materials as part of the Development and Communications team
  • Help ensure consistency of tone, clarity, and accuracy across bilingual communications

Required Qualifications

  • 1-3 years of experience in communications, philanthropy or grant writing
  • Excellent written and verbal communication skills in French. Basic knowledge of English is required to carry out certain duties associated with the position, particularly to communicate with English-speaking donors and participants. This requirement is directly linked to the responsibilities of the role
  • Outstanding organizational skills and attention to detail
  • Familiarity with donor databases (Salesforce or equivalent) and comfort with data management
  • Ability to take initiative, work independently, and manage multiple deadlines.
  • Knowledge of the Quebec philanthropic landscape is an asset

Working Conditions

Reports to: Director of Development and Communications;

Contract: 1 year long term leave replacement (September 2025 - September 2026), 35 hours per week;

Compensation: $26.10 an hour

Time off:Over 6 weeks of paid time off per year, prorated to hours worked, including:

  • 4% vacation pay (equivalent to 2 weeks);
  • One additional week's paid vacation in August during the summer shutdown;
  • One extra week of paid time off during the end-of-year holidays (December–January);
  • Nine health days (including sick leave as per labor standards act);
  • Paid statutory holidays.

Workplace: To best support our frontline programs, this position is primarily in-person at our office located at 6505 Somerled Avenue.
