Job Title: Corporate Administrative Coordinator
Organization: EnviroCentre
Location: Remote office, must live in the National Capital Region for regular travel within Ottawa.

  • Salary Range: $50,000 - $55,000

Job Summary:

This position is well suited to a highly organized, adaptable, and versatile systems-oriented administrator who likes to coordinate logistical details, maintain records, gather information, and assist with internal initiatives and committees. The ideal candidate has exceptional organizational skills, excellent time management and attention-to-detail, is great at multi-tasking, and enjoys tackling a variety of tasks on any given day.  

Reporting to the Manager, Virtual Office and Corporate Events, this position provides logistical and administrative support to the operations and business development teams.

Key Responsibilities:  

Operations

  • Fields and responds to incoming inquiries, triages to the correct departments.
  • Assists with the logistics surrounding all-staff gatherings, corporate events, and monthly all-staff meetings.
  • Assists in gathering content for the monthly internal newsletter and inputting into MailChimp.
  • Retrieves mail from EnviroCentre’s corporate mailbox and maintains corporate storage unit, including Business Development booth assets.
  • Deposits cheques received by mail and works with the Finance team to ensure that deposits are accurately documented.
  • Completes safety checks and inspections of storage units monthly.
  • Assists in record retention and destruction process, based on policies and procedures in place.
  • Coordinates staff birthday greetings and other life event gifts.
  • Assists with the Corporate Operations contact tracking in Zoho CRM.
  • Works with the Director of Strategic Impact to collect corporate travel greenhouse gas emissions data.

Business Development

  • Supports the RFP, proposal, and grant submission process.
  • Gathers information for RFPs, proposals, and grant submissions, often within short time constraints.
  • Ensures proposal documents adhere to EnviroCentre branding guidelines and creates templates that match these guidelines.
  • Assists with maintaining a repository of proposal-related content including past proposals, templates, staff CVs, boilerplate language, and best practices, to streamline future proposal efforts and ensure consistency and efficiency. 
  • Updates existing business development tracking tools and internal reporting documents.
  • Leads file management.
  • Scans and tracks available/upcoming grants.
  • Supports administrative tasks related to contract review and execution.

General

  • Provides input on improvements to streamline efficiencies for the departments.
  • Assists with EnviroCentre committees, including Health and Safety, Social, and Equity, Diversity, Inclusion, and Indigenization (EDII).
  • Works in accordance with applicable health and safety legislation, policies and procedures.
  • Other duties as required.

Note: We do not use artificial intelligence (AI) tools to support the screening and evaluation of applications for this position.   

Skills and Experience:  

  • 2 – 5 years’ experience in Administration/Customer Service/Office Coordination, or other relevant experience.
  • Post-secondary education in a related field OR equivalent professional experience. 
  • Strong verbal and written communication skills. 
  • Excellent administration, time management and organizational skills.
  • High-level proficiency in Microsoft Office programs.
  • Ability to provide organizational capacity to other team members and help colleagues adhere to timelines and deadlines.
  • Ability to pay attention to detail, problem-solve, exercise sound judgment, and work with a customer service focus.
  • Works well under high pressure. 
  • Ability to work independently and be self-directed and motivated. 

Working Conditions 

  • EnviroCentre is a virtual workplace and will provide the necessary technology and IT support.

  • Home-office environment with frequent computer use.
  • Weekly travel to Ottawa storage locations.
  • Once monthly in person working days at a coworking office in Ottawa.
  • Some lifting and bending are required.
  • Occasional evening or weekend work.

  • 35-hour work week and the ability to work flexible hours.
