The Mississippi Madawaska Land Trust (MMLT) is hiring a part-time Bookkeeper.

Position: Bookkeeper
Organization: Mississippi Madawaska Land Trust
Location: In-person, at the MMLT office (10970 Hwy 7, Carleton Place, near Ottawa, ON); however, some work may be done from a remote location, to be agreed by MMLT.

The part-time Bookkeeper reports to the Executive Director (ED).

Job Description

Responsibilities:

Working closely with the ED and MMLT Staff as well as the MMLT President and Treasurer and having the required qualifications/skills, the Bookkeeper will:

  • enter all financial transactions recorded in bank accounts, credit cards and in kind into SAGE accounting software ensuring the correct account code and project or event code is recorded;
  • enter all (100+) donations received monthly from Canada Helps, Square, Paypal, Interac Transfer and Cheque into BASIC FUNDER software (MMLT’s database of members, donors, volunteers and other contacts) ensuring accuracy of the data entered, adding new donors as required, ensuring project or events are entered correctly, that account funds are properly identified, and that donations are properly receipted. This data is then exported monthly into SAGE;
  • create new account codes and/or project/event codes in both SAGE and BASIC FUNDER as required or requested by the ED or MMLT designate;
  • maintain accurate accounting records in accordance with Generally Accepted Accounting Principles as they relate to Accounting Standards for Non-Profit Organizations;
  • reconcile bank statements, credit cards and balance sheet accounts on a monthly basis;
  • manage current and historical accounting information in an organized filing system;
  • prepare and submit payroll for approval bi-weekly and prepare and submit monthly CRA payroll remittance by the 15th of every month;
  • prepare journal entries allocating overhead costs to projects as directed and prepare monthly journal entries to accrue specific revenue and/or expenses;
  • receive and pay invoices, process receipts, make bank deposits;
  • track grant applications, account for expenses against grants and provide reports for reporting to granting agencies as the grant conditions dictate;
  • comply with federal, provincial, and other legally required financial reporting, including the annual T3010, Registered Charity Information Return and the semi-annual HST Return;
  • prepare monthly financial reports for management and the Board;
  • prepare the books for the annual audit and be able to provide all the necessary documents for the audit.

Qualification / Skills:

  • familiarity and experience with not for profit organizations, including project/fund-based accounting;
  • accounting training (diploma) and demonstrated bookkeeping/accounting experience;
  • knowledge of and adherence to generally accepted accounting principles;
  • knowledge of and ability to practice accrual method of accounting;
  • moderate to high level of skill with MS Excel;
  • familiarity with SAGE accounting software; (knowledge of BASIC FUNDER database is an asset);
  • thoroughness and attention to detail and ability to analyze data and information;
  • strong communication and people skills;
  • able to work independently and as a team player and to meet deadlines.
  • able to maintain confidentiality;

Work Hours: 2 - 3 days a week, to be assessed after 3 months.

Work Days: Monday through Friday, Flexible.

Hourly Compensation: $25 - $35/hour, based on experience and qualifications.

Office Location: 10970 Hwy 7, Carleton Place, ON. Some work may be done from a remote location, to be agreed by MMLT.
