Job Opportunity: Administrative & Finance Officer (mat leave)
Organization: Nature-Based Solutions Foundation
Location: Anywhere in Canada (working remotely)

Full-time contract (mat leave): Estimated 40 hours/week, flexible work schedule, compensated monthly, starting $60k-$67k/annum (based on experience).

Nature-Based Solutions Foundation (NBSF)

Founded by some of Western Canada’s most experienced conservationists, NBSF is a national organization with a mission to protect the most endangered ecosystems in Canada. Position overview

We are seeking a detail-oriented, highly reliable, and collaborative Finance & Administration Officer to support the organization during a maternity leave, until February 2028. Working directly with the National Conservation Director, this person will play a key role in keeping NBSF’s day-to-day financial, administrative, and operational systems running smoothly and supporting the broader team in delivering its work effectively.

The Finance & Administration Officer will independently manage a range of recurring finance, administration, grant-management, database, and operational responsibilities. This includes maintaining accurate financial and organizational records, keeping key databases and tracking systems current, supporting grant and donation administration, coordinating organizational systems and software, and ensuring that important processes and deadlines are consistently well managed.

The role is well suited to someone who takes ownership of their work, brings a high standard of accuracy and follow-through, and is comfortable coordinating across multiple projects and funding sources. We are looking for someone who is highly organized, adaptable, and naturally attentive to detail, while also being a thoughtful and collaborative team member who communicates clearly, exercises good judgment, and contributes positively to a small and dynamic organization. The ideal candidate will take pride in producing high-quality work, look for practical ways to strengthen internal systems and processes, and share a genuine interest in protecting nature.

Skills and experience:

  • Highly detail-oriented, accurate, and reliable
  • Excellent organizational skills, time management and ability to manage multiple priorities
  • Experience with financial administration, bookkeeping, or related financial processes (experience with using Quickbooks Online is an asset)
  • Comfortable working with budgets, expenses, revenues, reconciliations, and financial tracking
  • Comfortable working with databases, CRM systems, spreadsheets, and digital tools
  • Familiarity with grant administration and reporting
  • Highly adaptable and able to work independently
  • Clear written and verbal communication skills and a collaborative approach
  • Experience with nonprofit, charitable, or environmental organizations is an asset

Responsibilities:

  • Manage day-to-day financial administration, including tracking revenues and expenses, processing transactions, and maintaining accurate financial records
  • Create, maintain, and update organizational, project, and grant budgets
  • Support regular financial processes, including reconciliations, payments, reimbursements, cash flow forecasting, and financial reporting
  • Works with NBSF’s accountant and independent auditors for completion, review and filing of financial statements and annual reporting to the CRA
  • Maintain grant records, budgets, reporting requirements, payment schedules, and key deadlines
  • Process and record donations and grants, including preparing charitable receipts and maintaining required documentation
  • Maintain and regularly update NBSF’s key databases, CRM systems, spreadsheets, files, and organizational records
  • Maintain NBSF’s administrative systems, policies, manuals, and internal processes, and identify practical improvements where needed
  • Prepare contracts, funding agreements, and other administrative documents with guidance from the National Conservation Director
  • Maintain organizational software and digital platforms and support the implementation of new tools as needed
  • Support logistics for fundraising initiatives, events, presentations, and occasional field activities
  • Support routine communications and digital administration, including newsletters, media lists, social media, and website updates as needed
  • Undertake other important miscellaneous tasks to fulfill the organization’s mandate
