CLIMAtlantic facilitates access to information and tools and carries out its work through collaboration, networking, partnerships, and communication. CLIMAtlantic is part of a national network of climate services organizations, and works with the four provincial governments and the federal government, as well as regional stakeholders and rightsholders.

Position Summary

The Executive Assistant primarily works with the Executive Director (ED), Associate Executive Director (AED) as well as the rest of the staff team at CLIMAtlantic to provide administrative, organizational and financial administration support to the organization. This is a dynamic role that requires a high level of organization and attention to detail, excellent communication skills, and the ability to think critically and proactively.

Hiring Salary Range: $ 54,600 to $ 65,000

Main Responsibilities

Support to the ED (15%)

  • Support the ED and AED’s travel arrangements and expense claims.
  • In some instances, serve as the primary point of contact for the ED, representing the office with professionalism, responsiveness, and sound judgment.
  • Lead the development of the ED report to the Board of Directors every quarter.
  • Support the ED on tasks related to the Board and committees, such as scheduling meetings, preparing agendas and meeting materials, coordinating travel and logistics, taking minutes, and other responsibilities.
  • Act as a secondary liaison to Board and Committee members, ensuring continuity of communication and support.

Administration and Organizational Support (65%)

  • Maintain administrative processes that are accurate, timely, and compliant with internal protocols, including record keeping.
  • Support documentation, tools, systems, and practices that improve workflow and collaboration.
  • Participate in and support cross-functional initiatives.
  • Help plan and deliver events and special initiatives led by or involving the ED and Senior Leadership Team.
  • Coordinate travel arrangements, agendas and expense claims for Senior Leadership Team members.
  • Carry out additional duties as required to support the ED and CLIMAtlantic.

Financial Administration (20%)

  • Manages incoming bills, payments, organizing the financial files for the bookkeeper.
  • Works closely with staff to ensure timely submission of expense claims, invoices and bills.
  • Verify time worked of employees, run bi-monthly payroll, and payment of remittance.
  • Oversees organization and compilation of all files relevant for yearly reviews by a CPA accounting firm.

Position Requirements

  • Two (2) years in a similar position.
  • Comfort using Google suite, Zoom, Asana.
  • An interest in non-profit governance and operations.
  • Alignment with CLIMAtantic’s values and mission.
  • Demonstrates commitment to equity, diversity, inclusion.

Asset Qualifications

  • Experience working in a charitable organization or non-profit.
  • Experience working with Salesforce Not-For-Profit.
  • Understanding of climate change and adaptation issues in Atlantic Canada.
