The Opportunity

We are seeking a detail-oriented and proactive Accounting Assistant to support our Accounting Department and head office operations. Reporting to the Accounting Manager, this role plays a key part in ensuring smooth financial processing, strong communication between field operations and office teams, and efficient day-to-day administrative coordination.

What You'll Do

Accounting and Financial Support

  • Process vendor invoices, employee expense reports, and recurring payments accurately and on schedule.
  • Obtain and document approvals for all invoices and expenses.
  • Prepare EFT payment batches and support monthly credit card and benefit payment reconciliations.
  • Maintain vendor records for PAD and Pre-Authorized Payments.
  • Reconcile vendor statements and assist with GST/HST return preparation.
  • Support banking and cash management, including deposits, cash receipts, and bank reconciliations.
  • Assist with month-end close activities, including account reconciliations, journal entries, accruals, and supporting schedules.

Administrative and Office Coordination

  • Serve as the first point of contact for visitors and callers at our East Vancouver head office.
  • Open, scan, and distribute incoming mail and manage outgoing shipments.
  • Maintain an organized, welcoming front desk and shared workspace.
  • Order and track office supplies, ensuring inventory levels are sufficient.
  • Provide administrative support to Accounting and other departments as needed.

Team and Process Support

  • Assist with data entry and maintain accuracy within the accounting system.
  • Collaborate with field and operations teams to ensure timely and accurate financial communication.
  • Assist in the preparation of monthly, quarter-end, and year-end financial statements, supporting working papers, and account reconciliations.
  • Support the preparation of monthly management reporting packages, including financial analysis and variance reporting.
  • Assist with year-end audit preparation by gathering supporting documentation and responding to auditor requests.
  • Contribute to the continuous improvement of accounting and administrative processes and documentation.
  • Support special projects and other accounting initiatives as assigned.

What You Bring

  • Degree, diploma, or certificate in Accounting, Finance, or Business Administration (or an equivalent combination of education and experience).
  • Minimum two years of experience in accounts payable, accounting support, or a similar accounting role.
  • A genuine curiosity, growth mindset, and eagerness to learn, improve processes, and contribute to a collaborative team environment.
  • Interest in pursuing a CPA designation and building a long-term career in accounting and finance.
  • Experience supporting month-end, quarter-end, and year-end close processes.
  • Experience assisting with financial statement preparation, account reconciliations, and variance analysis is considered an asset.
  • High attention to detail, accuracy, and organization.
  • Strong communication and interpersonal skills for liaising with vendors, employees, and operational teams.
  • Proficiency with accounting software and Microsoft Office, particularly Excel, Outlook, and Word.
  • AI Proficiency: We use Microsoft Copilot and AI-assisted workflows throughout our finance function. The successful candidate will be comfortable using AI tools to improve productivity, analyze information, automate routine tasks, and support decision-making while applying sound professional judgment and maintaining strong financial controls.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Knowledge of GST/HST preparation and filing is considered an asset.
  • Professional, courteous, and customer-service-oriented demeanor.
