Position: Ecology Program Administrator
Organization: Friends of Fish Creek Provincial Park Society
Location: Position is located at the Cookhouse (15975 Bow Bottom Trail SE, Calgary AB). Up to 1 work from home day per week may be considered.

  • Employment Type: full-time, 1-year contract. 30-37.5 hours (4-5 days) per week, Tuesday – Saturday preferred. Occasional evenings required. May 2026-2027.
  • Wage: $22.00 - $25.00 per hour, dependent on experience.
  • Benefits: 12-15 days paid vacation, plus office closure over Christmas. Eligible to be added to extended health care plan (including dental) after 3 months employment.

The Opportunity

The Friends of Fish Creek Provincial Park Society (“the Friends”) is searching for a full-time Ecology Program Administrator to join our staff team! Reporting to the Ecology Manager, the Ecology Program Administrator is a new role that will primarily help to leverage new and existing partnerships to facilitate more group stewardship opportunities on various ecology projects. This role will also assist the Ecology Manager with supply ordering, help with logistics and scheduling, oversee the Grow with Us program and coordinate reporting of KPIs to the rest of the Friends’ team, in addition to assisting with supervising occasional stewardship-focused volunteer events (1-2 per week).

Located in Fish Creek Provincial Park, the Friends promotes positive outcomes for one of Canada’s largest urban parks by focusing primarily on resource management, research, and community development. We maximize environmental and social benefits by designing opportunities to improve quality of life and empower people to conserve a truly unique naturalized area. Fish Creek Provincial Park is bordered by seven constituencies encompassing over 350,000 Calgarians and is visited by an estimated 3 million people annually.

Key Responsibilities

ADMINISTRATION

  • Respond to inquiries received through their email and phone line, as well as the emails to the corporate stewardship and grow with us inboxes
  • Provide administrative support to the Ecology Mnager, including scheduling, reporting, and documentation
  • Support grant applications and supply procurement process
  • Coordinate group volunteer program, including scheduling, liaising with groups, validating waivers/insurance, and stewarding partnerships
  • Work with Communications Coordinator to send out monthly Grow with Us newsletter
  • Prepare a bi-monthly report on activities in advance of board meetings and annual report in April

COMMUNITY DEVELOPMENT

  • Work with Communications Coordinator to highlight successes of group volunteer days through website/social media thank-yous
  • Research and approach potential new partners for corporate stewardship events

VOLUNTEER MANAGEMENT

  • Coordinate admin volunteers to help with Grow with Us seed package mailouts

WATERSHED STEWARDSHIP

  • Work with the Ecology Manager to oversee the Grow with Us seed bank, including keeping inventory of available seeds and program participants
  • Oversee up to 1-2 stewardship volunteer events (up to 4 hours per event) per week. This may include grasslands restoration, invasive species management, monitoring, seed processing, nursery work, etc. Training on event oversight will be provided

Other duties as required.

Qualifications:

REQUIREMENTS

  • Undergraduate degree or equivalent experience in Business Administration, Communications, Ecology or other related field, or equivalent work experience.
  • At least 2 years’ experience in an administrative/project management-based role
  • Strong skills with Microsoft Office suite, including Word, PowerPoint, Excel, Outlook and Teams
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively as needed
  • Excellent time management, prioritization and multi-tasking skills
  • Outgoing individual, comfortable in communicating and interacting with people of all ages
  • Experience working with volunteers
  • Passionate about inspiring people to help protect the environment
  • Must have a valid driver’s license and access to a reliable vehicle, as you will be working in various parts of Fish Creek Provincial Park

ASSETS

  • Standard First Aid and CPR Level C
  • General knowledge of Fish Creek Provincial Park
  • Understanding of Alberta native plants and/or wildlife
  • Experience working with Keela or other CRM software is also a strong asset
