Position: Administration Manager (Maternity Cover)
Organization: Ecotrust Canada
Location: This is a fully remote position, but you will need to visit the Vancouver office once a week.

Start date: Mid- May 2026
Position status: Full-time , maternity cover – 18 months (32 hours/week, 4-day work week, Mon-Thurs). Generous benefits package after three months.
Salary Range: $55,000 – $65,000

Position Summary

We are seeking an Administration Manager to take on administration, personnel, governance, IT oversight, and finance support work as part our Administration and Finance team. This is a key position to ensure the seamless operation of the organization and responsiveness to administrative issues. The ideal candidate will enjoy helping their colleagues with their day-to-day operational needs, while maintaining strategic overview and direction. They will be able to work independently, show initiative, and reliably keep track of a variety of activities with attention to detail.

Responsibilities include:

Office Management & Administration

  • Manage Ecotrust Canada’s Vancouver office and coordinate the management of other locations
  • Respond to the administrative needs of staff and the CEO, and resolve logistical issues as they arise
  • Management of physical and digital records, including keeping register, clean up, and retrievals
  • Maintain insurance requirements

Finance Support

  • Work with the finance team to complete banking and payment/ donation processes
  • Keep updated records of donation data
  • Support the finance team with monthly reconciliations and other tasks as needed

Personnel & Culture

  • Coordinate recruitment processes, including staff onboarding and exit coordination
  • Monitor and update personnel-related processes and records
  • Organize annual in-person staff retreat
  • Manage Health & Safety Committee meetings and processes

Governance

  • Coordinate logistics and act as secretary for all board and board committee meetings
  • Fulfill government filing requirements and keep board records
  • Support ongoing compliance with various government contract/reporting requirements

Communications & Fundraising

  • Support the Head of Communications in preparing internal communications material
  • Updating the website and other communications support as needed
  • Fundraising support

Information Technology

  • Administer IT solutions (e.g. Office 365 suite) and hardware in collaboration with our IT service provider to support daily operations, address staff issues, and meet organizational goals
  • Drive ongoing work with our IT provider to maintain and update our IT infrastructure
  • Conduct annual internal fisheries audit (training provided)
  • Ad-hoc tasks as required for all of the above areas

Qualifications:

Essential skills and attributes:

3-4 years of experience demonstrating the following qualities:

  • Positive and proactive approach to problem-solving and motivation to take initiative
  • Strong organizational skills, including time management, ability to prioritize, reliability, and attention to detail
  • Strong interpersonal skills, including clear and kind communication, collaboration, and the ability to maintain confidentiality
  • Familiarity with Microsoft Office suite (e.g. Excel, Word, PowerPoint, Outlook, Teams, SharePoint) and/or aptitude for quickly learning new computer/internet skills
  • Understanding of or willingness to learn about decolonization and reconciliation

Assets (desired but not essential):

  • Familiarity with use and/or administration of Salesforce
  • Experience with records and information management
  • Experience with leading personnel/HR processes, actively supporting people and culture.
  • Aligned values to those of Ecotrust Canada’s mission
