Position: Travel Coordinator – sustainable & ethical travel

Trufflepig is a trip planning company based in Toronto. We’re into our 15th year, and count 27 full time staff. We’re in this because we love travel, and we’re really good at what we do, which is planning and operating imaginative and high-quality carefully-orchestrated custom trips in all sorts of countries around the world. We do so with as much creativity and personality as we can muster, and with attention to detail and precision to match. We’re a group of inspired and passionate travellers operating at the top of our game.

The core of our team is made up of our Trip Planners, who are destination specialists, and whom we (and others) consider to be the best in the business - we have more Planners on Conde Nast Traveler’s Top Travel Specialists list than any other company worldwide. They are a varied and unique bunch of characters with personality to spare, all with years of different experiences in their destinations, and all experts at planning travel. But they also excel at dealing with our clients who are smart, demanding, curious, well-informed and who expect the best at every turn.

Those Planners are supported by dedicated Coordinators and this posting is for that role. The Coordinator role has two contrasting aspects to it. Working within our detailed trip planning process requires hawk-like attention to detail and precision, along with a willingness to follow instructions unwaveringly. But in addition, understanding the custom nature of our work (no two trips or clients are ever the same) requires an ability to problem-solve, find new solutions for new situations, to improvise and to make smart, quick decisions.

In this way the role is very demanding and requires a wide range of abilities and attributes: an ability to think linearly but also out of the box, to be an unhesitating order-taker but to show initiative, to tend to each and every tiny detail but not to lose sight of the big picture. And if wrangling the ingredients can sometimes be mundane, the end result is anything but. It’s important to us that the people who travel with us have the time of their lives. To do this job well, you need to care about the trips and about the people involved. We are not putting out widgets and our clients are people with whom we have long-standing relationships.

What you’ll be doing

Our exceedingly professional Trip Planners handle detail, nuance, tight time-lines, competing priorities, conflicts, and unexpected situations with remarkable skill and humour. You’ll be working with them and learning something new every day. Our clients demand real answers to difficult questions, extremely high-quality work, and smart service. We believe that after a few years in this role, you will be a functioning travel industry ninja. You’ll also have learnt skills that could set you up for success in any number of jobs or professions.

You’ll be doing:

  • A significant amount of grunt work. The devil is in the details.
  • A great deal of problem solving. No two trips are alike.
  • A lot of following instructions, closely, to the letter. Our Planners are a demanding bunch.
  • Plenty of improvising, filling in the gaps, and using your noggin. We give people responsibility and autonomy.
  • Some tedious stuff. No one likes booking flights.
  • Some challenging stuff. Find the best diamond merchant in Antwerp. Quick.
  • In short, everything and anything to assist the Planners in putting together amazing travel and delivering it to our curious clients.
  • Along the way, you’ll be learning how to manage a large workload and a tight timeline; to communicate clearly and effectively; to coordinate and curate large amounts of detail and information; to solve problems efficiently and effectively; to work in a team and to work independently.
  • You’ll be working alongside people who are the best in their industry, who’ve learnt these skills and who bring them to bear every day, and who will be itching to teach them to you.
  • You’ll be dealing directly from day one with some pretty intimidating people and you’ll need to be happy picking up the phone, talking to clients, and handling situations without ever saying you know something you don’t.
  • You’ll be earning a steady salary, and receiving bonus payments when you nail it.
