Position: Event and Volunteer Coordinator
Hours: 25 – 37.5 hours/week (see below)

Duties and Responsibilities

Volunteer Coordination and Management (60%)

  • Create a volunteer management work plan for each season.
  • Review and update volunteer manual/handbook and policies as needed.
  • Complete a risk assessment for each role.
  • Create job descriptions and recruit volunteers through promotion of volunteer roles.
  • Maintain and keep content on volunteer webpage up-to-date.
  • Screen potential volunteers through interviews, reference and police record checks.
  • Liaise with staff to determine volunteer needs and roles on a seasonal basis.
  • Place, train, supervise, support and evaluate volunteers, with input from all staff.
  • Solicit feedback from volunteers to improve volunteer management at HPNC.
  • Maintain HPNC volunteer database (Sumac) and administrative records.
  • Communicate with volunteers on a regular basis (i.e. a newsletter or email communications)
  • Coordinate volunteer recognition initiatives (i.e. appreciation parties, awards/certificates).
  • Manage space and usage of the volunteer hub and resources.
  • Adhere to the Canadian Code for Volunteer Involvement.
  • Promote educational internships and co-op placements, lead recruitment.
  • Provide training and mentorship to part-time staff, volunteers, interns and co-op students.
  • Evaluate interns and co-op students, provide feedback and write recommendations.

Event Coordination (20%)

  • Coordinate the HPNC’s Special Events (including but not limited to: Owl Prowl, Dawn Chorus, Harvest Festival, Pumpkin Float, Halloween Howl, Decorate a Tree for the Birds, Christmas Bird Count for Kids, Christmas Celebration and the Pancake Breakfast/Spring Run Off Outreach Events).
  • Research, source and secure ‘expert’ assistance with events (i.e. a birder to help with the CBC for Kids or an Owl bander to help with the Owl Prowl event).
  • Oversee registration and communications for special events in concert with the Office Administrator and Communications Coordinator.
  • Distribute and analyze participant evaluation surveys and amend programming as needed.
  • Work with the Executive Director and Program Director to develop a long-term event plan for each year.
  • Ensure event statistics are accurately tracked.
  • Prepare quarterly end-of-season event reports.
  • Scope new opportunities/partnerships and propose new special events.

Outreach (10%)

  • Coordinate and attend outreach events (on or off site) as required.

Additional Duties (10%)

Administrative Tasks

  • Monitor and sort incoming phone calls and HPNC emails on weekends and respond to questions that pertain to weekend programming.
  • Ensure event statistics are accurately tracked.
  • Assist part time staff with Administrative Tasks, as needed.


  • Contribute content to e-newsletter, blog + social media accounts.
  • Photography during events for use in publicity and promotional materials.


  • Liaise with community groups, volunteers and the public.
  • Ensure Nature Centre building maintenance.
  • Other duties as required.

Reports to: Executive Director

Hours of Work: 25 - 37.5 hours/week; Regular weekend and evening work is required.

Salary Range: $16 – $18/hour
