Position: Program Administrative Coordinator
Organization: Cheakamus Centre
Location: Brackendale / near Squamish, BC

Established in 1969, Cheakamus Centre is an overnight environmental education facility located on a 165-hectare ecological reserve near Squamish, BC. The Centre is owned by the North Vancouver School District and offers a wide variety of experiential environmental and indigenous cultural education programs to children and adults from the Sea to Sky corridor, Metro Vancouver, and beyond.


The Program Administrative Coordinator is responsible for providing key administrative support for all education programming at Cheakamus Centre. The primary responsibilities include coordinating program documentation with attending schools and groups, liaising with new and returning groups regarding expectations and responsibilities, scheduling and communicating with high-school volunteer leaders, and providing general administrative support for all educational programs.

This dynamic full-time position requires strong organizational skills to coordinate concurrent deadlines, working with databases and spreadsheets, as well as a high level of customer service and communication skills as the initial contact for schools, volunteers, and parents.


The Program Administrative Coordinator is employed by Listel Canada and supports the Education Programming Team and reports to the Program Manager.


Meet or exceed the knowledge, skills and aptitudes for the Job Standard for Program Administrative Coordinator that includes, but is not limited to:

  • Program planning and ongoing communications with visiting group leads experiential environmental and indigenous cultural education programs
  • Coordinating program forms and compiling medical and dietary information for designated programs and orientations
  • Run weekly program logistic meetings; compile, track and distribute program information to all Cheakamus Centre departments
  • Meeting and checking in with visiting school groups upon arrival to the site and on occasion, providing site tours
  • Communicating with teachers (district school staff), clients (parents, volunteers and staff members), and volunteers (students and parents) via ongoing emails and phone calls, including general inquiries about education programs and the Cheakamus Centre site
  • Supporting the development and updating of guidelines, processes, resources and manuals (internal procedures, external guides, etc.)
  • Bus coordination for in-district SD44 programs
  • Internal program reporting and tracking (developing, updating and distributing program surveys)
  • Communicating with volunteer high school counsellors to schedule counselling weeks, training weekends and special events, and updating volunteer database on an ongoing basis
  • Liaise with school staff and administrators regarding volunteer high school counsellor processes
  • Volunteer database management (Volunteers for Sales Force)
  • Developing connections with volunteer high school counsellors (via on site communications, and electronic/in-school outreach and recruitment)
  • Other duties as assigned


  • Undergraduate degree or diploma in related discipline
  • 3+ years of experience in an administrative role and/or camp/outdoor centre management
  • Experience working within the field of outdoor environmental education and/or indigenous cultural education (preferred)
  • Experience working with multiple overlapping deadlines in a fast-paced environment
  • Highly organized and able to maintain and prepare electronic records and reports
  • Proficiency in computer and internet use including Microsoft Office, and database management software (e.g. Volunteers for Sales Force or equivalent); competent in working with cloud-based applications
  • Demonstrated excellence in verbal and written communications with parents, students, teachers and other stake holders
  • Works effectively independently and in a collaborative team environment
  • Experience in facilitating and managing groups (preferred)

Full time salaried position based on 40hrs per week. 12-month contract, starting mid November 2019


Salaried contract of $42,000 per year

MSP coverage and extended health provided for full time employees after probation period
