About this Opportunity

Do you love everything outdoors experience? Do you want to provide more inclusive outdoor opportunities to girls across Canada? This role supports the execution of the Outdoor Experiences (OE) program including working with volunteers, families and vendors, and focusing on continuous improvement of amazing experiences. This role will begin by exclusively focusing and learning from the ON Council program, though scope may grow to working with other Provincial Councils as well, depending on Team Lead’s guidance.

The OE Coordinator(s) will:

  • Provide support, information and direction for volunteers and parents/guardians to secure and support OE registrations.
  • Create and/or modify OE webpages and documents, including GuidePost messaging, email templates, reports, and tracking sheets as directed.
  • Prepare and compile pre-arrival handbooks, rooming list and kitchen/medical forms or waivers as needed and share them with primary registrants for OE planned programs.
  • Provide data to and support Engagement Volunteer through Responsible Guider selection process for OE planned programs.
  • Track budgets for OE planned programs expenses.
  • Provide role and expectation details to each Responsible Guider.
  • Work with OE Team Lead to support initial connection, then liaise with facilities for OE planned weekends, providing data and forms/waivers when required.
  • Seasonal creation of ePly registration forms and reports.
  • Process all OE registrations, including Outdoor Experience Financial Assistance (OEFA), performing maintenance and following up with primary registrants as needed.
  • As the front-line face of the organization to volunteers and parents/guardians, ensure that a positive customer service relationship is always maintained.
  • Prepare SG SurveyMonkey Apply submissions for planned program weekends.
  • Prepare, send and monitor OE feedback surveys.
  • Work collaboratively with OE staff team and the greater Member Experience team, seeking and providing support during peak times, vacations, or illness.
  • Apply organizational policies regarding inclusivity to content, member communication and customer service.
  • Liaise with preferred vendors, ensuring Safe Guide forms and Certificates of Insurance are current
  • Update the MetaLocator seasonally and as needed
  • Work with the OE Team Lead to ensure an even geographical distribution of Preferred Vendors
  • Provide OE reports and Data to the OE Team Lead as requested

You are an ideal candidate if you have:

  • Related post-secondary education (business administration or accounting courses preferred) or equivalent work experience.
  • 2-3 years experience working in office administration with some experience in the areas of expense tracking, data management and analysis, and/or project management.
  • Intermediate to advanced skills using Microsoft Word, Excel, and Outlook.
  • Analytical, logical and process oriented with financial aptitude.
  • Excellent problem-solving skills and attention to detail/accuracy and strong time management and organizational skills.
  • Communication skills (verbal, written, active listener) and flexible, adaptable in a changing, fast-paced environment.
  • A solution-oriented team player with a focus on customer service.
  • Trustworthy with confidential information.

Assets include:

  • Knowledge of/experience with Guiding.
  • Experience working with a diverse population of volunteers within the non-profit sector.
  • Love for and experience in the camp world!
  • Previous experience with database software (ePly, iMIS) preferred.
  • French language skills/fluency (and any other language spoken in Canada).
