Position: Office Manager / Executive Assistant

Are you an organized, detail-oriented self-starter who would like to contribute to the meaningful work of a charity that conserves natural areas in the Edmonton region? We are looking for an Office Manager/Executive Assistant.

About Us

The Edmonton and Area Land Trust is a registered charity that secures and stewards areas of ecological significance in the capital region. We are a small team of five permanent staff with additional seasonal interns throughout the year. We own conservation lands that are open to the public and that we steward with the support of volunteers and contractors. We actively secure new lands for conservation and fund our work through grants, donations, and endowments.

The Job

Reporting to the Executive Director, the Office Manager/Executive Assistant serves as an integral member of the team by managing the office and providing finance and administrative support to the Executive Director, as well as to the Conservation Manager and the Board of Directors. The position assumes a key role in the day-to-day operations of EALT and provides finance and administrative support to the full lifecycle of projects, grants, contracts, and agreements. We seek an individual who is organized, detail-oriented, and brings a service excellence and can-do attitude to our team. Key responsibilities are to:

  • Manage the physical office and maintain EALT’s operational requirements and records (e.g., filings, permits, registrations, insurance, health and safety, etc.).
  • Maintain a detailed awareness and understanding of on-going grants, contracts, and agreements in order to provide effective and timely finance and administrative support to the Executive Director, as well as to the Conservation Manager (e.g., tracking budgets, invoices and payments, reporting requirements and deadlines, records management, etc.).
  • Maintain a detailed awareness and understanding of the Board of Directors and its meetings and committees in order to provide effective and timely finance and administrative support to the Executive Director (e.g., board web portal, meeting schedules and invites, agendas and packages, board communications, etc.).
  • Communicate with the contracted bookkeeper to support the processing/tracking of financial transactions, maintaining of electronic financial and corporate records, and preparing for the annual audit for which the Executive Director is responsible.
  • Provide administrative support for the recruitment, on boarding, orientation, and end of service of employees and board members.
  • The position requires interaction with the general public and some lifting of office equipment and supplies.
  • Perform additional duties as required.

You Bring

  • Degree, diploma or certificate in business, finance and/or office administration.
  • 3-5 years of related experience; experience in the charitable sector is considered an asset.
  • Advanced user of Google applications and cloud-based software.
  • Fluency in English (written and verbal) and excellent communication and interpersonal skills.
  • Excellent organizational skills and records keeping, and a proven ability to work with sensitive and confidential materials.
  • Ability to work independently with minimal supervision and perform tasks accurately with attention to detail.
  • Exceptional work ethic and commitment to quality work.
  • Brings a service excellence and can-do attitude.

The Edmonton and Area Land Trust office is located in west Edmonton.
