Position Title: Concordia Food Coalition Internal Coordinator
Organization: Concordia Food Coalition
Location: Montréal, Quebec

Salary: $18/hr
Hours per week : 25 hours

Tentative start date: November 25th, 2019
Tentative end Date: November 24th, 2020 (with possibility of renewal)

About the CFC: The Concordia Food Coalition (CFC) is a non-profit organization and a fee-levy group operating at Concordia University. The CFC is focused on the economic, ecological, and social impacts of the food system on campus, and beyond. Bringing together students, faculty, and staff, we strive to promote and facilitate a transition to a more sustainable food system. We will achieve this by building an inclusive culture of food politics on campus through education initiatives. We aim to democratize the campus food system by moving away from corporate models while organizing towards student-led change.

Purpose: The internal Coordinator is responsible for ensuring the smooth operations of the organization’s daily flow. The Coordinator offers administrative support and acts as a liaison between all active working groups, other coordinators, and the Board of Directors.

The Coordinator of the CFC should have a passion for food sovereignty, and be motivated to help create sustainable food systems that can operate undeterred by the corporate monopoly currently dominating Concordia University’s food service provision. The successful candidate will have experience with office & project coordination, budgeting & grant writing, facilitation, and a solid vision of what the food landscape at Concordia could look like. They will have an active role in shaping the organization’s future, in collaboration with past, existing, and future members.

Reporting relationship: As a non-hierarchical organization, the coordinator is accountable to other coordinators and the Board of Directors.


Office Coordination

  • Organize & facilitate Board of Directors meetings
  • Prepare collaborative meeting agendas (coordinator, working groups, etc.)
  • Answer external inquiries in person, through email or over the phone, redirecting them when necessary
  • Oversee the internal communications of the organization
  • Manage office space, supplies, and resources
  • Draft and edit meeting minutes, policies & reports as needed in coordination with coordinators and relevant committees
  • Overseeing archival duties by organizing the organization’s internal drive and keeping documents catalogued and accessible (i.e. contact lists, approved policies, research etc.)
  • Coordinate regular meetings between CFC coordinators
  • Support the board of directors by sitting on at least one committee, accomplishing tasks related to yearly strategic goals related to the position
  • Facilitate strategic planning retreats for the organization in collaboration with board members and fellow coordinators
  • Liaise with the Z annex collective to maintain the space, organize coworking events, and improve the office working environment

Project Support/Coordination

  • Liaise between committees, Board of Directors, and working groups
  • Offer diverse and specialized support to the CFC’s working groups/projects depending on their needs (e.g. promotional, financial, organizational, internships etc.)
  • Oversee research, synthesis, and delivery of grant applications for organizational projects, initiatives, collaborations, etc.
  • Liaise with on-campus organizations to push forward initiatives dealing with food at Concordia (Sustainability hub, FLAC, Dean of Students Office, Concordia Student Union, etc.)
  • Represent the CFC in meetings with administrative bodies dealing with the food system at Concordia (Sustainable Food Service Advisory Committee, Food Advisory Working Group, etc.)
  • Consult with students looking to start a project or a working group at the CFC
  • Check-in with working groups on their spending & general project needs
  • Follow & update internal policies and processes for funding requests, working group responsibilities, and project evaluations
  • Facilitate working group meetings twice a semester
  • Offer support to working groups by representing them in internal campus administrative processes (e.g. space bookings)
  • Update working group information on website & drive once a semester


  • Office coordination experience
  • Strong multi-tasking and time-management abilities
  • Proven track record for successful project coordination
  • Excellent communication skills both verbally and written
  • Experience with grant writing
  • Ability to support and organize with multiple stakeholders
  • Dedication towards building sustainable, healthy, affordable, and non-corporate food systems
  • Familiarity with non-hierarchical and non-profit organizational functioning
  • Experience with creating and maintaining budgets
  • Understanding of the social economy
  • Excellent consensus decision-making and meeting facilitation skills
  • Strong writing & editing skills
  • Advanced computer literacy with knowledge of cloud computing technology
  • Experience and/or knowledge of the CFC’s vision, mission, values, history, and general operations
  • Willingness to adapt to the organization’s needs


  • Bilingual (French and English) oral & written skills
  • Familiarity with Concordia University, its institutional processes, and the campus milieu
  • Experience working with a Board of Directors
