You excel at helping lay out realistic time frames for projects and have a keen ability to summarize and communicate what's happening. You are a wizard at organizing and helping direct and assist the comings and goings of two passionate, hardworking change-makers, your heart sings at the thought of taking a pile of random and accumulated emails laden with sweet business opportunities and sorting them into a systemized, workable entity to ensure nothing ever falls through the cracks!

The role:

Your day begins with prioritizing and clearly laying out the tasks for the day and then meeting with the Execs to align on how it's all going to flow.

You then proceed to rock through the following types of responsibilities:

  • Preparing and editing correspondence, communications, presentations and other documents

  • Setting up and managing electronic and paper filing systems

  • Filing and retrieving documents and reference materials

  • Conducting research, collecting and analyzing data to prepare reports and documents

  • Managing and maintaining executives' schedules, appointments and travel arrangements

  • Invoicing clients, basic bookkeeping, and working with our accountant

  • Arranging and coordinating meetings and events

  • Monitoring, screening, responding to and distributing incoming communications

  • Maintaining office supply inventory

  • Coordinating project-based work

  • Setting up warm, inviting meeting spaces

  • Attending confidential management and board meetings

  • Preparing agendas

  • Establishing and coordinating the implementation of company administrative policies

  • Reviewing operating practices and implementing improvements where necessary

  • Taking notes in most conversations that you find yourself in

  • Cash management

  • Personal assistant tasks as required

  • Any and all other duties that the Executives may require

Must haves:

  • Proven experience as an Executive Assistant or in a similar type of role

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills and meticulous attention to detail

  • Strong problem-solving and analytical skills

  • Proven ability to handle multiple projects and meet deadlines

  • Superior communication and interpersonal skills

  • Ability to work on complex projects with general direction and minimal guidance

  • Excellent judgement in setting priorities, identifying issues and determining action required when working under pressure and deadlines

  • Demonstrated ability to work independently and as a member of a team

  • Proficient on Microsoft Office/Google Suite programs

  • Experience on a Mac or the ability to learn it quickly

  • Experience working in databases

  • Flexible schedule - Office hours will usually take place somewhere between the hours of 9am and 5pm. However, your assistance may be required for the occasional weekend event or project at the executives’ home and office in North Vancouver.

We'd prefer that you have:

  • A vehicle and/or drivers licence
  • Experience with a CRM system
  • Some financial literacy
