Position: Executive Director
Organization: Toronto Vegetarian Association
Location: Toronto, Ontario

POSITION OVERVIEW

Reporting to the Board of Directors (Board), the Executive Director (ED) will have overall strategic and operational responsibility for the Toronto Vegetarian Association (TVA)’s staff, programs, expansion, and execution of its mission, to inspire people to choose a healthier, greener, more compassionate lifestyle through plant-based eating. This role is responsible for establishing and executing major goals and objectives for the organization. They will provide leadership, direction and guidance for TVA’s activities, while analyzing and evaluating the effectiveness of all organization operations. They will develop and maintain organizational structure and effective personnel, coordinate major activities through subordinates and appraise assigned personnel. They will implement the strategic plan and policies as approved by the Board. They will be the lead spokesperson for TVA to other agencies, community and civic organizations, donors, funders and supporters, and the general public.

DUTIES AND RESPONSIBILITIES
A. Strategic Planning and Management

  1. Direct and oversee the planning, implementation and evaluation of the organization's short and long term strategic plans, programs and services.

  2. Oversee the planning, implementation, execution and evaluation of special projects.

  3. Provide leadership to organization personnel through effective objective setting, delegation, and communication.

  4. Oversee the development of an operational plan which incorporates goals and objectives that work towards the strategic direction of the organization

  5. Oversee the efficient and effective day-to-day operation of the organization

  6. Ensure ongoing programmatic excellence.

  7. Ensure effective systems to track scaling progress, and regularly evaluate program components, to measure successes that can be effectively communicated to the board, funders, and other constituents.

  8. Maintain and support an effective managerial staff.

  9. Conduct staff meetings to disseminate pertinent information.

  10. Actively engage and energize TVA’s volunteers, board members, event committees, partnering organizations, and funders.

  11. Ensure that operations are implemented and conducted in accordance with TVA’s constitution and by-laws, its mission statement, and any approved Board policies.

  12. Attend meetings of the Board and attend (or designate another staff, as appropriate) Board committee meetings.

  13. Working with committees, draft policies for Board approval and prepare procedures to implement the organizational policies; review existing policies on an annual basis and recommend changes to the Board, as appropriate.

  14. Provide staff support to the Board by preparing meeting agenda (in consultation with the Chair) and supporting materials.

  15. Report to the Board on activities and concerns regarding the operation of TVA on a monthly (or “as needed”) basis.

B. Fundraising:

  1. Work with the Board and relevant committees to establish a strategic, multi-year financial growth and sustainability plan for TVA.
  2. Develop and provide direction and leadership in the identification, cultivation and solicitation of major gifts, planned giving, large grant writing, online giving and corporate and foundation strategic partnerships.
  3. Develop a fundraising plan with specific targets. Achieving targets will be a critical measure of success.
  4. Manage and coordinate staff, volunteer and professional relationships in support of fundraising events, major/planned gift fundraising activities, and campaigns.
  5. Ensure the proper implementation of fundraising plans, activities and campaigns with fundraising goals. Ensure the adequate implementation of tools, processes and budgets needed for supporting the fundraising activities.
  6. Monitor and evaluate all fundraising activities to ensure goals are being achieved; identify and correct problems related to areas such as funding, expenditures and related matters.
  7. Expand our donor base by cultivating positive and mutually beneficial relationships.
  8. Coordinate the identification, cultivation and solicitation of event-specific and multi-event/year sponsorships.
  9. Identify and expand revenue generating and fundraising activities to support existing program operations and future program expansion.
  10. Create, manage and develop relationships with corporate, foundation and CSR forums aiming to maximize awareness about TVA among influencers and senior stakeholders.
  11. Prepare funding proposals, grant applications, and related reports to corporations, foundations, and governments in collaboration with staff.
  12. Keep up to date with current fundraising and social trends, current events and political changes, CRA guidelines and updates by participating in professional organizations and networking with the business sector.

C. Communications

  1. Act as the lead spokesperson for organization.

  2. Working with the Marketing & Development Committee, develop and implement an annual communications plan; develop an effective social media strategy.

  3. Oversee all aspects of communications—from web presence to external relations with the goal of creating a stronger brand and raising TVA’s visibility.

  4. Create, update, and oversee the distribution of promotional materials for TVA.

  5. Meet with community members and organizations to tell the TVA story and to gain financial support.

  6. Encourage and build strong and positive partnerships with community agencies, individuals and government.

  7. Develop and execute a PR strategy, including representing TVA through media appearances and interviews to increase TVA’s visibility.

  8. Maintain ongoing communications and stewardship of our donors.

  9. Oversee timely and effective communications to members.

D. Human Resources

  1. Foster a healthy organizational culture; encourage and value diversity.

  2. Ensure that appropriate salary and wage structures are maintained.

  3. Ensure that job descriptions are current.

  4. Conduct performance appraisals as required.

  5. Formulate and implement corrective action as needed.

  6. Lead, coach, develop, and retain TVA’s high-performance team.

  7. Assist with Board development efforts, including Board member orientation and training.

E. Financial

  1. Maintain full awareness of the complete financial, statistical, and accounting records of the organization.

  2. Ensure that operating results established in the annual budget are achieved and the control of operating expenses within budget.

  3. Ensure the accuracy, integrity, and timeliness of all financial accounting and reporting.

  4. Ensure the preparation of budgets and forecasts for board approval.

  5. Report on the financial affairs of TVA to the Board as required.

  6. Negotiate contracts and agreements within Board-approved limits.

  7. Maintain an effective and cost-efficient office environment.

F. Perform other duties as requested and required.

QUALIFICATIONS

Education

  • College or University degree in a related field

Experience

  • At least 5 years of senior management experience; track record of effectively leading and regionally and/or nationally scaling a performance-and outcomes-based organization and staff; ability to point to specific examples of having developed and operationalized strategies that have taken an organization to the next stage of growth.
  • Strong marketing, public relations, and fundraising experience with the ability to engage a wide range of stakeholders and cultures.
  • Demonstrable fundraising success.

Knowledge, skills and abilities

  • Knowledge of leadership and management principles as they relate to non-profit/ voluntary organizations
  • Knowledge of current community challenges and opportunities relating to the mission of the organization
  • Knowledge of human resources management
  • Knowledge of financial management
  • Knowledge of project management

Proficiency in the use of Mac computers for:

  • Word processing
  • Financial management
  • E-mail
  • Internet

Assets

  • Knowledge of all federal and provincial legislation applicable to voluntary sector organizations including: employment standards, human rights, occupational health and safety, charities, taxation, etc.
