Position: Finance Manager (maternity leave replacement)
Organization: Ecology Action Centre
Location: Halifax, Nova Scotia

(maternity leave replacement, until November 2021)


The Ecology Action Centre is an environmental charity based in Nova Scotia. We take leadership on critical environmental issues from biodiversity protection to climate change to environmental justice. The Finance Manager is responsible for the daily and monthly accounting and financial activities for the Ecology Action Centre, including managing payables and receivables, processing payroll and maintaining financial reporting for both Operations and Projects. The Finance Manager also assists with developing schedules and back-up for the annual audit. The position reports to the Controller.

Duties include:

Ongoing Financial Activities

  • Supervise Finance Clerk
  • Oversee paying bills and expense claims weekly
  • Manage receivables, collect outstanding payments
  • Issue invoices & keep records of when invoices are due
  • Complete bank deposits. Monitor bank balances and assist with cash flow management
  • Complete month-end activities. Reconcile bank accounts, credit cards and the donor database monthly.
  • Manage petty cash and cash boxes for events
  • Enter bi-weekly payroll data into payroll system and complete postings
  • Issue Records of Employment
  • Send acknowledgement letters to funders when necessary
  • Orient new staff on expense claims and invoices
  • Meet with staff to discuss financial aspects of any events
  • Open and distribute mail
  • Provide support for fiscal year-end and annual audit
  • Assist with development of annual budget
  • Manage reporting deadlines, complete reports to funders or provide financial information for reports
  • Additional activities as required

Financial Tracking and Records Management

  • Oversee tracking of Operations revenues and expenses monthly
  • Oversee monthly tracking of projects
  • Maintain system to track project documentation
  • Maintain financial documentation as necessary
  • Maintain funding documentation, filing contracts and reports


Required skills and experience:


  • A combination of 2+ years of post-secondary education and/or experience in a financial capacity focused on payables, receivables, and bank deposits
  • Experience working with Sage 50 and comfortable posting journal entries
  • Experience with ADP payroll systems
  • Experience drafting or issuing Records of Employment
  • Advanced Excel skills
  • Experience with financial tracking

Desirable skills and experience:

  • Comfortable working in contact management databases
  • Knowledge of ADP payroll system. Payroll training and knowledge of legislation
  • Experience in a non-profit environment, including knowledge of tax receipting
  • Accounting courses (community college or university)


  • Start: February 10, 2020
  • End: November, 2021
  • Full time 37.5 hours per week annual salary
  • Cost-shared benefits plan and 4 weeks paid vacation per year
  • Workdays: Monday to Friday
