Position: Market Administrator
Organization: Ottawa Farmers' Market
Location: Ottawa, Ontario

The Ottawa Farmers’ Market is seeking a talented and motivated person with not-for-profit experience to join our team!

This contract position will be to cover a parental leave, but as we grow our team and staff structure, the right candidate could be eligible to continue in a similar full-time permanent position with the OFM.

Start date: August 9, 2021
End date: December 31, 2022
Hours: Full time, temporary position at ~35-40 hours per week. Mostly weekday work, except for Sunday market days from May – December, and monthly meetings in the evening. Some additional weekday/evening meetings may also be required.
Compensation: $21.50 - $23.00 per hour
Reports to: OFM Chair of the Board of Directors

While most work will be conducted from home, there are also on-site market days every Sunday at Lansdowne Park from May to December.

The ideal candidate will have experience working in a not-for-profit setting, working closely with a Board of Directors and with a small team of staff. We are looking for a self-starter capable of working from home during the week, delivering work on short timelines, and being accountable for the work they are doing. We are looking for someone with keen attention to detail and strong communications skills, both verbal and written. Previous experience working with a farmers’ market, or a similar not-for-profit model, is preferred.


  • An undergraduate degree in business, administration, communications, environmental studies, or another related field.
  • A minimum of two years experience working in a not-for-profit setting, especially at a level that engages directly with a Board of Directors.
  • Experienced in maintaining budgets, conducting basic not-for-profit financial activity, and diligent record-keeping.
  • Experienced in overseeing staff and volunteers in a not-for-profit setting.
  • Demonstrated experience in conflict resolution, problem solving, and managing human resources issues.
  • Demonstrated experience working with multiple stakeholders and maintaining healthy relationships with community partners.
  • Strong written and verbal communications skills, with an attention to detail and editing skills.
  • Skilled in basic software, including: Gmail and GoogleDrive, Quickbooks, Excel Spreadsheets, Microsoft Office software, Wordpress, Zoom, and all major social media platforms.
  • Access to a home-based workspace and secure internet access.

While some duties are carried out on a weekly or monthly basis, the type of work will generally change over the course of a market season as some tasks are specific to the time of year based on the OFM’s annual calendar.

Typical duties include, but are not limited to, the following:


  • Conduct weekly deposits and keep financial records up to date and accurate.
  • Secure signatures and process bills as required.
  • Prepare bi-weekly financial statements for bookkeeper, including deposit and expense summaries, invoices and billing, operational expenses, etc.
  • Build annual budget with the Finance Committee, maintain annual budget, and monitor and report on spending and the overall budget monthly.

Board of Directors and administrative duties

  • Prepare for and execute monthly Board of Directors meetings.
  • Liaison with the Board of Directors and Board committees.
  • Renew and maintain OFM insurances, memberships, subscriptions, and submit any required paperwork and contracts as required by the OFM to the City of Ottawa and other partners.

Annual General Meeting

  • Plan and execute OFM annual general meeting, and all related tasks as required.

Membership Maintenance

  • Maintain up to date membership and seniority lists.
  • Maintain up to date full season maps and protocols.
  • Process annual membership renewal applications and lists.
  • Prepare and execute new membership applications.
  • Collect and process vendor insurance.

Administer Summer Markets

  • Secure market locations for 2022 season and all requirements, rental contracts, etc.
  • Prepare summer market calendar and assist with any summer market programming and planning with market staff.
  • Plan site maps and operations strategies with market staff.
  • Assist in any summer hiring and volunteer coordinating as required.
  • Attend summer market days on Sundays, and other market days as required.


  • Respond to website email inquiries, vendor inquires, and media inquires as required.
  • Update website and communications platforms as required.
  • Attend meetings with community and City partners as needed.
  • Send emails to the membership and content to customers and community members, etc. as required.
