Location: based in Kitchener, Ontario. A successful candidate will have the flexibility to work from home anywhere in Southwestern Ontario, with occasionally required work on site.

Report: Position reports to the Chair / Co-Chairs and Board of the Festival
SALARY: $50,000 annual
Under the direction of the Chair/Co-Chairs of the Board, and the Board at large, the Executive Director is responsible for the overall management, coordination, planning, implementation and overall financial sustainability of the Waterloo Wellington Children's Groundwater Festival held virtually and in person at the Waterloo Region Museum in Kitchener or other location as required.
- Develops and maintains strong working relationships with the Festival’s Board, FestivalOrganizing Committee and Sub-committees, four school boards, private schools, teachers, funders, sponsors, vendors, contractors, professional advisors, Regional and Museum staff and volunteers.
- Maintains the physical condition, and Coordinates the replacement/purchase, of activity centres and new educational materials.
- Develops all related training and resource materials.
- Organizes meetings, create agendas and distributes minutes.
- Attends all Board, Organizing Committee and Sub-committee meetings.
- Coordinates the registration and confirmation of elementary students who attend the Festival annually.
- Develops contract and manages the bussing requirements for all schools.
- Oversees the volunteer cycle, this includes recruitment and training of the adult and high school volunteers.
- Plans and delivers Marketing and Communication strategy; including social media, Festival App and website.
- Plans and delivers the Teacher orientation sessions (on-line and in person).
- Administers all expenses and revenues generated by the Festival.
- Responsible for running a broad range of duties from administrative to physical set-up and implementation of the Festival.
- Writes various reports and evaluations including but not limited to: grant applications, progress reports, not for profit and/or charitable status reports, financial updates and annual reports.
- Works with Waterloo Region Museum staff to develop and implement Emergency procedures as required and all Festival Standard Operating Procedures.
- Performs other related duties as assigned.
- Research contemporary issues concerning water and related educational opportunities for youth, in order to inform and create possible future directions for the Festival.
- Maintains an awareness of, and contact where possible, with other children’s water education festivals throughout Ontario and further beyond.
RESPONSIBILITY FOR MATERIAL/FINANCIAL RESOURCES:
- Responsible for all Festival related materials and finances and manages operating budget.
- Manages finances in coordination with and under the review of the Treasurer and Board.
- Responsible for coordinating and filing the annual financial statements.
- Responsible for filing monthly federal and provincial deductions.
CONTACTS & HUMAN RELATIONS:
- Reports to Chair / Co-Chairs and the Board.
- Coordinates and obtains assistance from the Festival Organizing Committee.
- Ability to work with Waterloo Region Museum staff in an office work environment, when required.
- Interact with students, volunteers, parents, elementary and high school teachers, funders.
EFFORT: (Mental, Physical):
Work involves a considerable amount of mental concentration. The incumbent must be able to coordinate and implement the Festival without a great deal of daily input from the Committee. Manual dexterity and attention to detail are required for activities related to the Festival. Some heavy lifting and physical work is required.
- Work is performed at home, the Ken Seiling Waterloo Region Museum and other locations as required. Some travel is required therefore access to a reliable vehicle is required.
- Position is a 0.6 full time equivalent. Based on a 35-hour work week, that is 1,092 hours annually or approximately 32 weeks, with flexibility to adjust as needed to deliver the program. Occasional weekend work required. It is expected that for 2 weeks before, 1 week during and 1 week after the Festival that work week hours will exceed 35 hours per week.
- It is the expectation that the position will keep the Board apprised of work schedule.
- Knowledge of education, event planning, environmental issues and / or hydrogeology, normally acquired through a University degree or relevant related experience in one of the following or related disciplines: Environmental Studies, Environmental Science, Geography, Natural Resource or Water Management, Earth Sciences, Event Planning or Education.
- Police and vulnerable sectors check required.
Language Communication (Written & Verbal):
- Incumbent requires above average communication, organizational and problem-solving skills as well as general computer literacy.
- Experience with grant writing.
- Minimum of 2 to 3 years experience in a not for profit, government or education work environment.
- Demonstrated experience in organizing and coordinating tasks, projects and / or data.
- Experience with balancing multiple and often conflicting deadlines.
- Customer service experience especially dealing with public inquiries and / or complaints.
- Demonstrated ability to build strong relationships and partnerships with stakeholders.
- Demonstrated leadership skills to motivate small to large teams.
- Excellent interpersonal skills with the ability to work alone and in a team environment.
- Attention to detail is critical.
- Excellent and demonstrated organization, time management, research, administrative and problem-solving skills.
- Creative thinker in generating new youth learning opportunities, funding streams, and problem solving.
- Demonstrated ability to manage priorities and workflow and be self-motivated.
- Must possess excellent written and verbal communication skills required to deliver customer service in an accessible manner.
- Must have experience in the implementation of communications, marketing and digital campaigns, plans and / or strategies.
- Proficient computer skills, with knowledge and experience in Microsoft Office, Excel, PowerPoint, databases and Adobe Creative (Photoshop).
- Knowledge of the Occupational Health & Safety Act.
- Flexibility to work the occasional evenings or weekends.
- Valid Class G Driver’s License and maintain a clean driver’s abstract.
