Position: Special Events Manager

HUB Cycling is Metro Vancouver’s cycling organization. Through education, action and events, we get more people cycling and help build happier, healthier and more connected communities. Our events celebrate cycling for transportation in fun and unique ways with the primary goal of encouraging people to make the switch to cycling for transportation. Our events also educate the public about cycling safety, engage positively with local businesses, fundraise to support programs and increase membership sales.

Position Summary

The Special Events Manager will play a critical role in helping to get more people cycling in Metro Vancouver. Under the direction of the Director of Corporate Engagement and Events, the Manager will be responsible for soliciting sponsorship funding and coordinating event logistics and marketing for HUB Bike to Shop Days (July 21-23, 2017), HUB Bike the Night (August, 2017), HUB Bike Shorts (November 1, 2017) as well as other fundraising and social events throughout the year. The Special Events Manager will build and steward relationships with various stakeholders and sponsors and recruit and supervise volunteer assistants as well as temporary part-time event staff. The Manager will also assist with HUB’s Organization Membership Program.

Program Details

HUB’s second-annual Bike to Shop Days will encourage people to ride to and shop at their favourite local businesses. The event will include activation sites near popular shopping areas in Metro Vancouver where people on bikes can stop for free snacks, prizes, giveaways, bike repairs and tips for how to carry shopping items by bike.

HUB’s second-annual Bike the Night is expected to draw thousands participants on bikes for a colourful evening ride on Vancouver streets. The event will include a celebration event at the start of the ride route where participants can enjoy snacks, music, hot chocolate and other free giveaways.

HUB’s third-annual Bike Shorts Film Event will take place November 1, 2017. This evening fundraiser will include 2 hours of short films, a live auction and other fundraising activities.

HUB’s Organization Membership Program consists of 60+ businesses who support better biking cycling and want to connect with our network of people who love bikes. HUB wants to grow our organization member community.


  • Manage event critical paths, oversee scheduling, supply management, permitting, ride route planning, and other logistics
  • Solicit new event sponsorships and organization memberships while stewarding and renewing existing partnerships
  • Solicit donations of in-kind prizing, food, drinks, silent auction items and mechanic services for events
  • Produce engaging and creative marketing campaigns and materials in partnership with graphic designer
  • Oversee event social media on Instagram, Facebook, Twitter and LinkedIn
  • Generate and manage content for event website pages
  • Oversee program budget management
  • Supervise seasonal staff or contractors
  • Oversee volunteer recruitment and management for all events
  • Provide event reporting to external partners
  • Ensure consistent event safety and risk mitigation measures are undertaken
  • Assist with other HUB Cycling events as appropriate
  • Raise awareness of cycling as a viable mode of transportation
  • Report weekly to Director of Corporate Engagement and Events

  • Minimum of 3 years of event planning experience
  • Sponsorship solicitation and/or related sales experience
  • Valid driver’s license required to transport large supplies to events (you don’t need your own car - we use carshare vehicles)
  • Must work well with deadlines, details and deliverables
  • Creative self-starter, able to take initiative and deliver on time
  • Able to lead and motivate a team of staff and volunteers
  • Proven verbal and written communication skills
  • Flexibility, interpersonal skills, and enthusiasm are key to success in this position
  • Bachelor’s Degree or other related post-secondary education preferred
  • Familiarity with HUB Cycling and its programs preferred
  • Love of cycling for transportation valued

Hours: 30 hours/week March 15 - June 30. 35 hours/week starting July 1

Salary: $21-$24.50 per hour commensurate with experience

Other: This position may be eligible for additional funding from the Get Youth Working! Program. If you are under the age of 29, currently unemployed or working less than 20 hours per week and not a full-time student, please let us know.
