Title: Events and Communications Coordinator
Organization: Columbia Institute
Location: Vancouver & Lower Mainland BC (This job will allow for a remote work arrangement and may involve overtime on a need basis. Ideal candidate must be working in PST time zone and must be available to attend all related events in person.)

Status: Part-time, contract position
Rate: CAD $30 per hour
Reporting to: Management Team
Starting date: Beginning of January 2023

SUMMARY: The Events and Communications Coordinator will take the lead in formulating and executing the communications and events plan for successful delivery of 2024 High Ground Governance Forum (March 22 and 23) and pre-forum events (March 21).

WORK SCHEDULE: 2 days per week in January; 3 days per week in February; 4-5 days per week in March; 2 days in first week of April

RESPONSIBILITIES:

Project Management:

  • Take the lead in drafting and executing communications work plan for the event, which include but not limited to creation of promotional materials, managing social media, updating website, outreach and promotion.
  • Oversee execution of events while keeping up with the budget;
  • Support program development;
  • Act as a liaison between staff, speakers, moderators, community representatives and other stakeholders;
  • Organize regular Team meetings;
  • Coordinate with other Team members;
  • Prepare a conference report at the end of the event.

Supervision

  • Recruit, organize, and supervise event volunteers;
  • Support organization of youth delegation;
  • Coordinate event staff;
  • Manage onsite guests and participants.

Logistical

  • Prepare internal running scripts, talking points, and stage directions;
  • Ensure event stays on track by manage deadlines and tracking progress;
  • Liaise with speakers and moderators on conference information, registration, accommodation, and workshops;
  • Work with hotel staff and external vendors on event needs with focus on audio-visual and digital requirements.
  • Prepare plans for childcare and transportation;
  • Act as main contact of photographer and videographer;
  • Conduct phone outreach to potential participants;
  • Perform other work-related tasks assigned from time to time.

SKILLS AND QUALIFICATIONS

The successful candidate will have most of the following qualities and experience:

  • Experience in event organizing;
  • Experience in digital communications and/or marketing.
  • Excellent organizing and coordinating capacity;
  • Demonstrated ability to organize multiple tasks, set priorities, meet deadlines, work independently, and perform under the pressure of time constraints;
  • Ability to maintain a positive, responsive attitude, and work collaboratively with a remote team;
  • Strong written and oral communication skills, diplomacy, and tact;
  • Knowledge of digital tools including online conference platforms, event registration platforms, MailChimp, WordPress, social media, Microsoft Office, Adobe Professional and InDesign.
