Position: Administrative and Accounting Assistant
Location: Ottawa, Ontario

The Opportunity

We are seeking an experienced and self-motivated individual with incredible attention to detail to elevate the success of the ESSA team by performing various administrative and project accounting duties to support both Ottawa and Vancouver offices. The full-time position is based in the Ottawa office, where we are observing workplace safety protocols in response to COVID-19. You will report to ESSA’s International Team Director in Ottawa and be supported during your onboarding by ESSA’s Executive Coordinator in Vancouver headquarters.

Your administrative responsibilities include (~60%):

  • Helping to plan and execute an office move taking place in March 2021
  • Scheduling meetings using MS Teams, Zoom and other IT platforms
  • Taking notes during staff meetings
  • Managing company-wide orders of office supplies and mailing / shipping needs
  • Ensuring the appearance and cleanliness of our Ottawa office
  • Supporting event planning and booking travel (when this is a thing again)
  • Assisting staff with diverse project tasks (e.g., setting up surveys in SurveyMonkey, retrieving articles from online databases, providing orientation to new staff on administrative systems)
  • Preparing expense reports for staff
  • Coordinating contract approvals and signatures, and then filing contracts

Your accounting responsibilities include (~40%):

  • Setting up projects in ESSA’s accounting system for some project managers
  • Preparing invoices and coordinating invoice approvals
  • Verifying and recording invoices in our accounting system
  • Collecting and verifying staffs’ timesheets


You come with two years of experience in a similar role. You are an excellent and positive communicator, with a strong collaboration and teamwork focus; very adaptable to changing priorities and effective at juggling multiple tasks. You ensure clarity of assigned tasks, priorities and timelines and ask for guidance when necessary. Interest in science and environmental issues is essential. You have experience using a wide range of computer software and other office technology; in particular, you have excellent skills developing and updating spreadsheets. You are highly detail oriented and take pride in producing quality work within set timelines. As a resourceful problem solver, you are very comfortable and quick to learn new administrative and accounting skills.

Asset qualifications

  • Completion of a diploma in Accounting or one to two years’ experience performing some accounting or bookkeeping functions using multiple currencies.
  • French or Spanish-language skills.
