Position: Admissions Coordinator – Groups Programs (Full Time, 1 Year Contract)
Immediate Supervisor: Director of Admissions

The Admissions Coordinator – Groups Programs actively supports the annual cycle of duties upheld by the Admissions Department. This position will play a key role in corresponding with our schools and groups partners, teachers, school staff, students and their parents, in preparation for urban and wilderness programs. This role is responsible for communicating program logistics, conducting the registration process, screening medical history with students and families, and preparing Course Documents for the programming regions across the country, as well as any required post-course follow up work. This is not a supervisory role, and requires the candidate to sit on key committees to represent the Admissions Department.


  • Liaise directly with school and group clients to initiate and manage the Registration process for their applicants.
  • Take the lead on participant registration: intake paperwork, medical screening, and participant follow up as needed.
  • Diligently practices the Admissions Screening process and policies, demonstrating professionalism and compassion when speaking with young adults, youth and parents about their detailed physical and mental health history.
  • Contribute towards revising and updating the OBC Admissions Screening Manual, as it pertains to school and groups programs.
  • Create, review and distribute pre- and post-course documents for School/Groups Urban and Wilderness programs, supporting with Open Enrolment and Funded programs where needed.
  • Communicate important information to Course Directors, Food Providers, and Program staff before, during and after courses. Follow-up on post-course documents for courses within your portfolio in a timely manner.
  • Coordinate tracking of enrollment for Schools and Groups programs, and liaise with the Marketing Team and Program Team to provide insight into enrolment trends.
  • Supporting the outreach and sales teams in responding to group program-related inquiries, communicating by telephone and email to track and respond to initial inquiries from potential clients, providing pre-course information and advice.
  • A dynamic and active member of the Admissions Department team, participating in weekly check-ins and representing the department with internal and external partners.
  • Participation in staff trainings and school information sessions, which may involve travel and attendance on evenings and weekends from time to time.
  • Other duties as assigned.


  • Completion of a post-secondary degree or diploma.
  • Knowledge and experience in office management and administrative tasks.
  • Experience communicating with clients and fielding inquiries through email and telephone communications, with a helpful demeanor and superb customer service skills.
  • Overall an organized individual who is task oriented and excellent with time management.
  • Ability to complete tasks and create reports in a timely manner.
  • Experience and knowledge in the medical field is considered an asset – discussions with youth and their parents about their overall (mental and physical) health is a big part of the role.
  • Experience and knowledge working with youth in schools, community groups and with vulnerable populations is considered an asset.
  • A keen interest in outdoor pursuits is considered an asset.
  • Superb communication skills via phone, email and video conference – candidate will be liaising with supervisor remotely for majority of the contract.
  • Experience using IT tools: Google Suite, Salesforce and Camp Brain considered an asset.
  • Experience in the medical field is considered an asset.
