YOUR POSITION WITH NATURE UNITED

The Manitoba (MB) Program Specialist will be a key member of Nature United’s MB Conservation team (“the team”) and provide limited support to the Northwest Territories Program and the Nature United Conservation Program. They will bring project management, communication skills and finance and operations experience to strengthen the team and ensure that staff are working as effectively and collaboratively as possible towards clear objectives for our work in the region, while efficiently responding to other organizational requests. They will report to the MB Program Director and provide cross-functional support to the team as well as to the Finance & Operations department. Nature United is working in partnership with Indigenous communities in Northern Manitoba to support Indigenous led conservation and sustainable resource management.

ESSENTIAL FUNCTIONS

The MB Program Specialist will be responsible for creating and implementing systems that ensure the effective and coordinated implementation of our work in MB. This will include working closely with team members to identify key work streams, document programmatic and workstream-level key performance indicators, and track progress towards our objectives. Working with the MB Program Director they will ensure the coordinated implementation of our work and facilitate effective and regular communication between team members in MB. They will also have an important role to play in coordinating with the Finance & Operations department to (i) track milestones and payments associated with grants and contracts and to monitor program spending against approved budgets for reporting and forecasting purposes, and ii) to manage the development and approval of grants and contractual agreements with our partners and vendors in both Manitoba and the NWT. Additionally, they will support the MB Program Director in managing internal approval processes and materials, as well as supporting event planning and scheduling meetings with team members, and support implementation of organizational priorities by the Director of Conservation.

RESPONSIBILITIES AND SCOPE

MB Team Functions (85%):

  • Report to the MB Program Director and coordinate closely with the Finance & Operations department.
  • Participate as a foundational member of the MB team and play a key role in facilitating team communication and coordination; liaise with and manage requests from across the organization, including meeting reporting requirements.
  • Working closely with the MB team, develop and implement systems for tracking progress towards strategic plan and annual objectives and document learning.
  • Manage grants and contracts development including providing support to project leads and conservation operations staff during the development phase in accordance with organizational policies and procedures as well as processing and tracking milestones and payments.
  • Ensure compliance with organizational policies and procedures and external (donor/legal/government) requirements.
  • Support the annual budgeting process and work with the MB Program Director, the Director of Finance & Operations and project leads to ensure coordination and realize efficiencies.
  • Track spending against approved annual project budgets and work closely with project leads to respond to budget changes throughout the year.
  • Manage and track program measurement and evaluation framework and indicators.
  • Develop and maintain systems for project management, grants and contracts payment schedules and processing, and identify other workflow management components that could contribute to a more effective and integrated team.
  • Provide other operational and administration support to the MB team, such as scheduling meetings, note taking and event planning.

Conservation Team Support (15%):

  • Provide targeted operational and administration support to the Director of Conservation in areas such as the employee performance management process, implementation of Conservation team Right Relations commitments, coordination of internal approvals and support decision making process among conservation leads.
  • Provide operational and administration support to the NWT Program Director, specifically around monthly updates and managing grants and contracts

MINIMUM QUALIFICATIONS

  • Bachelor’s degree and/or 3 years related experience or equivalent combination
  • Project management experience including exposure to and experience working with budgets and financial reporting.
  • Experience designing and implementing administrative processes.
  • Experience synthesizing information and generating reports.
  • Experience in business writing, editing, and proofreading.
  • Strong organizational skills, accuracy, and attention to details.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

DESIRED QUALIFICATIONS

  • Demonstrated experience managing large complex projects involving multiple teams and stakeholders to successful completion, including risk tracking.
  • Excellent communication skills.
  • Experience and/or familiarity with accounting and/or business administration principles.
  • Experience working with Indigenous communities and knowledge of Indigenous history in Canada.
