Position: Digital Project Coordinator
Organization: LEAF - Local Enhancement and Appreciation of Forests
Location: Toronto / GTA, Ontario

  • Full-time, 8-month contract
  • 35-40 hours/week
  • Wage: $24/hour

Our planting programs and education/outreach programs have been connecting residents to the urban forest for over two decades. Role Overview:

We are seeking a Digital Project Coordinator for a full-time, 8-month contract. The Digital Project Coordinator will play a key role in supporting LEAF’s transition to new digital systems under the direction of the Acting Executive Director. The coordinator will work closely with the management team to help identify technological solutions, improve integration and automation, improve organizational effectiveness and workflows and elevate the use of data to enhance program impact. A central focus of the digital transition will be finding a cloud-based database/CRM solution to replace our existing database, with the guidance/expertise of external IT consultants.

This role will also be responsible for internal IT support, providing technical advice and assistance to our team of dedicated employees. The coordinator will work to provide solutions to both inhouse, remote and field staff employees with IT related issues. The role will also provide digital training for employees, as needed.

The list below outlines the major responsibilities related to this position; however, additional tasks may be assigned as needed.

Responsibilities of Position:
Digital Project Coordination (70%)

  • Liaise with IT consultants and the LEAF Management Team in both the discovery and implementation of an effective digital transformation process, including creating agendas, confirming stakeholders, pursuing follow up actions, etc.
  • Evaluate organizational needs and recommend improvements to existing tools, systems, work environments and workflows
  • Work with the LEAF Management Team and other staff to identify gaps and areas of improvement based on best practices in database administration
  • Assist in the creation of technical documentation
  • Assist in the preparation of data for database migration
  • Analyze data, interpret trends/patterns and provide outcome reports

Day to day technical and operational support (30%)

  • Provide internal IT support to employees on existing tools, systems, work environments, workflows, etc. and create documentation on effective use
  • Handle day-to-day troubleshooting and maintain employee-specific equipment such as computers, printers, peripherals, etc. (may occasionally require in-office work)
  • Provide IT support for new hires, including providing appropriate equipment, assisting with workstation arrangements, installing applicable software/hardware/wiring, identifying equipment needs and assisting with IT orientation
  • Help train employees on effective use and best practices of tools, systems, work environments, workflows, etc.
  • Perform security and quality control testing
  • Review and make recommendations on policies and practices related to technology, remote work and digital security
  • Stay informed on new or emerging trends and technologies that provide clear benefits to the organization, business partners and/or customers/clients
  • Attend regular staff meetings and Management Team meetings
  • Track metrics, document impacts and contribute to project reports

Qualifications required for the position include:

  • Degree or diploma in computer science, computer systems engineering, software engineering, or related field or lived experience equivalent in administration, Digital, IT or business.
  • Strong computer literacy, especially with Microsoft365, including OneDrive, Access Database, Excel, etc.
  • Experience with or knowledge of IT operations, systems planning and design
  • Experience with or knowledge of operating CRMs and database administration (familiarity with Access Databases a strong asset)
  • Strong analytical, decision-making, and problem-solving skills
  • Strong interpersonal and communication skills including team-building, facilitation and conflict resolution
  • Strong organizational and research skills
  • Ability to work effectively both independently and with a team
  • Ability to multi-task, manage a diversity of assignments and meet deadlines, while maintaining attention to detail

Additional qualifications that will be considered strong assets:

  • Experience working in a non-profit environment
  • Sense of curiosity, experimentation, innovation, and iterative improvement
  • Knowledge and experience with database security and data privacy
  • Experience with data visualization
  • Experience designing, implementing and adapting processes to improve integration across multiple teams
  • Confidence working with all levels within an organization
  • Familiarity with IT challenges/solutions for field work
  • A passion for trees and urban nature

Other Requirements:

  • Ability to work remotely (reliable access to a phone, computer and internet connection)
  • Willingness to wear a mask or face covering when working indoors with others
  • This position is made available through Eco Canada. The following requirements are necessary:
    • Age 30 and under
    • Canadian citizen, permanent resident or hold refugee status in Canada
    • Must be currently unemployed, underemployed, or hold part-time employment
